Role Description
This is a full-time, on-site role based in Dallas, TX, as a Transaction Coordinator for our CRE (Commercial Real Estate) Project Leasing team. The purpose of this position is to assist and support the team with their current landlord listings and tenant representation clients. This role is essential to ensuring their team’s success through managing transactions, efficiently moving deals from pipeline to revenue, and work with a high-volume transaction workflow. This role is best suited for someone with real estate broker experience or real estate administrative experience, and someone who thrives in a fast-paced role. This team delivers high volume transactions which needs someone to be highly organized.
We maintain an in-office environment 5-days per week and are located in Uptown Dallas/Knox Street area. Kindly consider prior to submitting an application for the role.
Responsibilities (include but are not limited to):
- LOI preparation and redline, including follow up with parties to ensure execution
- Manage commission agreements and ensure that they are executed/signed by both parties
- Processing deals to invoice for commissions within the software, and coordinate invoicing
- Create void analysis and hit lists for listings, as needed
- Proactively work with brokers to obtain required documentation to various stages to keep deals moving through the process.
- Submit monthly forecast reports
- Compile email lists of potential listings that may be a fit for active tenants
- Site research/selection for tenant rep accounts
- Prepare oral and written presentations
- Actively track and manage spreadsheets for deal status
- Research potential users for vacancies and proactively contact
- Sign call management and arranging access to properties
- Prepare materials for leasing update calls including, but not limited to: VTS updates, Smartsheet/excel trackers, and email templates
- Note taking on calls and meetings with distribution to team and clients
- Coordinate and book travel arrangements and assist with organizing calendar
- Oversee client relations (gifts, thank you notes, etc.)
- General help with office and team errands
Experience Requirements:
- Proficient working experience Microsoft Office Suite, specifically in Excel
- Ability to work independently and within a team to build relationships and interact with brokers and clients
- Ability to support multiple brokers to prioritize deliverables
- Ensure team organization and proactivity for team efficiency
- Team oriented approach
- Ability to multi-task and operate in a fast-paced environment
- A true interest in all things Retail Real Estate
