Provides administrative and scheduling support to the Production Scheduling team by maintaining accurate production schedules and system data, coordinating routine schedule updates, and ensuring weekly planning activities (including the Monday schedule freeze) are completed on time. This role partners with Manufacturing, Supply Chain, Planning, and Customer Service to support on-time execution and clear communication of changes.

Provides administrative and scheduling support to the Production Scheduling team by maintaining accurate production schedules and system data, coordinating routine schedule updates, and ensuring weekly planning activities (including the Monday schedule freeze) are completed on time. This role partners with Manufacturing, Supply Chain, Planning, and Customer Service to support on-time execution and clear communication of changes.
Key Responsibilities
- Update and maintain the production schedule based on manufacturing order receipts and shop floor feedback.
- Add new orders to the schedule and validate required information (order number, quantities, requested dates, constraints, and priority).
- Update change orders in the scheduling system and ensure revisions are reflected in the production schedule and communicated to impacted stakeholders.
- Prepare the production schedule for the Monday freeze by reconciling open items, confirming priorities, and verifying schedule readiness.
- Refresh MRP and verify that key planning signals (exceptions, shortages, and reschedule messages) are captured and routed appropriately.
- Maintain and update the escalation file, ensuring timely documentation and follow-up of schedule risks, constraints, and supply issues.
- Update the Supply Chain Office Hours log as needed; capture questions, actions, owners, and due dates.
- Support routine scheduling cadence activities (daily/weekly meetings, agenda prep, note-taking, and action item tracking).
- Maintain accurate records and file organization for schedule versions, reports, and related communications per department standards.
- Identify data discrepancies and work with Scheduling/Planning to resolve master data, order status, or timing issues that impact schedule integrity.

- High school diploma or GED required; associate degree or equivalent experience preferred.
- 2 years of administrative, scheduling, production control, or supply chain support experience in a manufacturing or operations environment.
- Proficiency with Microsoft Excel and Outlook; comfortable working with ERP/MRP systems and production scheduling tools.
- Strong attention to detail and ability to manage frequent updates while maintaining data accuracy.
- Effective written and verbal communication skills with the ability to escalate issues clearly and professionally.
- Ability to prioritize competing requests and meet time-sensitive deadlines (e.g., weekly schedule freeze).
- Experience with production scheduling concepts (capacity constraints, lead times, change control, and order status management).
- Prior experience refreshing/running MRP and interpreting MRP exception messages.
- Experience in a regulated, high-mix/low-volume, or make-to-order environment.
- Comfortable creating and maintaining trackers (escalation logs, action item lists) and basic reporting dashboards in Excel.
- Data accuracy and schedule discipline; strong follow-through on updates and open actions.
- Organization and time management; able to work with daily priorities and weekly cutoffs.
- Collaboration and customer service mindset; able to work effectively with Manufacturing, Planning, Procurement, and Customer Service.
- Problem identification and escalation; flags risks early with relevant facts and options.
- Confidentiality and professionalism when handling customer/order information.
