Responsibilities
- Manage incoming calls using multi-line phone systems, providing courteous and professional assistance to clients and visitors
- Maintain accurate client records through data entry, spreadsheets, and document management using Microsoft Office and Google Workspace tools
- Handle front desk duties including greeting visitors, scheduling appointments, and managing calendar entries with precision
- Support office operations by organizing files, processing paperwork, and performing clerical tasks such as proofreading and word processing
- Assist with bookkeeping tasks using QuickBooks or similar software to ensure accurate financial recordkeeping
- Coordinate calendar management for team members, including scheduling meetings and managing deadlines efficiently
- Provide exceptional customer support via phone, email, or in person while demonstrating excellent phone etiquette and organizational skills
Experience
- Proven clerical experience or office management background in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software
- Experience with data entry, filing systems, and document proofreading to ensure accuracy and clarity
- Excellent organizational skills with the ability to multitask effectively and prioritize responsibilities
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Previous experience in customer service or front desk roles that involved client communication and technical proficiency is preferred
- Familiarity with office equipment such as multi-line phone systems, scanners, and fax machines is beneficial
