Overview
Shipley is seeking a part-time Contracts Specialist to serve as the Contracts Department Lead, managing the full lifecycle of contracts and establishing scalable contracts operations as the organization continues to grow.
This role works in close coordination with Shipley leadership, Sales, Finance, and Operations to ensure contract language, pricing, and terms align with Shipley's service offerings, policies, and client agreements. The ideal candidate brings strong organizational skills, sound judgment on contract risk, and the ability to work independently while collaborating across functions.
Key Responsibilities
- Serve as Shipley's Contracts Department Lead, owning the contracts function and working with leadership to establish and implement scalable contracts operations.
- Ensure existing Contracts Standard Operating Procedures (SOPs) are followed; review, amend, create, and implement new SOPs as needed for intake, review, approvals, execution, storage, compliance tracking, and ongoing management.
- Provide guidance on both commercial and government contracting requirements, including knowledge of the Uniform Commercial Code, cost accounting principles, and other applicable regulations.
Core Operations
- Manage the full lifecycle of all contract types, including NDAs, MSAs, vendor agreements, consulting agreements, SOWs, subcontracts, amendments, renewals, and terminations — from drafting and negotiation through execution and closeout.
- Organize, maintain, and continuously improve a centralized contract repository, ensuring accurate version control, accessibility, and compliance with approved Shipley processes.
- Review and standardize contract language to ensure consistency, reduce risk, and reflect current corporate requirements and industry best practices.
- Coordinate with Sales and leadership to ensure all contracts reflect up-to-date service pricing and accurately represent scope and deliverables.
- Act as the liaison between Contracts, Sales, Finance, and Operations to ensure contract terms align across the organization.
Tracking, Reporting & Compliance
- Monitor and report on contract statuses, expiration dates, renewal needs, outstanding signatures, and key compliance checkpoints, providing visibility for leadership and stakeholders.
- Conduct regular audits of the contract repository to eliminate outdated or duplicate files, confirm accuracy, and ensure compliance with company policies and applicable regulations.
Continuous Improvement & Enablement
- Identify inefficiencies and lead initiatives to streamline and/or automate contracts workflows in collaboration with Shipley leadership.
- Support and mentor internal staff on contracts processes, tools, and compliance practices as needed, fostering a culture of consistency and accountability.
Required Qualifications
- 3 years of experience in contract administration or legal roles involving client/vendor agreements.
- Proven experience managing the contracts lifecycle in a consulting, GovCon, or professional services environment.
- Strong understanding of contract structure, risk management, and pricing alignment.
- Proficiency in contract repository tools or document management systems.
- Exceptional organizational skills with high attention to detail and the ability to manage multiple priorities independently.
- Strong communication and cross-functional collaboration skills.
- Must be a collaborative team player who works effectively with internal and external stakeholders.
Preferred Qualifications
- Bachelor's degree in Business, Legal Studies, Contract Management, or related field.
- Experience with both commercial and government contracting regulations and processes.
- Experience working within GovCon professional services firms, including familiarity with government contracting requirements and cost accounting systems.
- Experience with commercial procurement best practices.
Work Environment & Schedule
- Hybrid position: in-office at Shipley's Kaysville, UT headquarters twice per week, with remote flexibility for remaining hours.
- Availability required during business hours, 9:00 AM–5:00 PM MST.
- Reliable home internet connection required for remote workdays.
