Position Summary
We are seeking an organized, proactive, and resourceful Executive Assistant to provide high-level administrative support to executive leadership within our Healthcare organization. This role requires exceptional organizational skills, professionalism, discretion, and the ability to anticipate needs in a fast-paced environment. The Executive Assistant will manage complex calendars, coordinate meetings and travel, prepare reports and correspondence, and serve as a trusted partner to leadership while helping ensure the efficient operation of the office.
The ideal candidate is detail-oriented, adaptable, and thrives in an environment where priorities can shift quickly. They possess excellent communication skills, strong business judgment, and the ability to maintain confidentiality with sensitive information.
Key Responsibilities
- Manage complex calendars, appointments, meetings, and scheduling priorities.
- Coordinate travel arrangements as needed, itineraries, accommodations, and expense reporting.
- Prepare, edit, and proofread correspondence, presentations, reports, and other business documents.
- Screen and prioritize phone calls, emails, and other communications.
- Organize meetings by preparing agendas, materials, meeting notes, and follow-up action items.
- Serve as a liaison between executive leadership and internal departments, external partners, and vendors.
- Coordinate confidential projects and administrative initiatives with accuracy and discretion.
- Maintain organized electronic and physical filing systems.
- Track deadlines, deliverables, and key projects to ensure timely completion.
- Assist with event coordination, executive meetings, and company functions as needed.
- Process invoices, expense reports, purchase requests, and other administrative documentation.
- Support office operations by assisting with special projects and other administrative duties as assigned.
Qualifications
- 5–7 years of experience supporting senior executives or leadership teams.
- Associate's degree preferred; equivalent experience will be considered.
- Healthcare experience preferred.
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Excellent organizational, time management, and problem-solving abilities.
- Demonstrated ability to maintain confidentiality and handle sensitive information with professionalism.
- Ability to work independently while collaborating effectively across departments.
- Strong interpersonal skills and a customer-service mindset.
Physical Requirements
- Prolonged periods of sitting and computer use.
- Ability to occasionally lift up to 20 pounds.
- Ability to move throughout an office environment as needed.
Pay: From $70,000.00 per year
