MULTI-COMPANY EXECUTIVE & OPERATIONS ASSISTANT

ABOUT THE POSITION
We are seeking a highly organized, dependable, trustworthy, resourceful, and adaptable Executive & Operations Assistant to provide administrative and operational support across multiple businesses, properties, and projects.
This is a unique opportunity for someone who enjoys variety and is comfortable wearing many hats. The ideal candidate can easily move between administrative work, QuickBooks, property management, residential property cleaning, travel, customer service, sales, scheduling, and personal/executive assistance.
This position is best suited for someone who is organized, efficient, flexible, hands-on, and willing to jump in wherever needed.
Because this role involves multiple companies and sensitive business and personal information, a high level of confidentiality and discretion is required. An NDA/confidentiality agreement may be required.
PRIMARY RESPONSIBILITIES
PROPERTY CLEANING & TURNOVER – CORE RESPONSIBILITY
Cleaning experience and a willingness to clean residential and vacation rental properties is a key requirement of this position.
The successful candidate will serve as both a primary and backup cleaner for multiple properties and will play an important role in maintaining the quality and readiness of our rental properties.
Responsibilities may include:
- Cleaning vacation rental and residential properties
- Preparing properties between guests
- Changing and making beds
- Cleaning bathrooms, kitchens, bedrooms, and common areas
- Vacuuming, sweeping, mopping, dusting, and general cleaning
- Laundry and linen management
- Restocking household and guest supplies
- Checking properties for cleanliness, damage, or maintenance concerns
- Reporting issues promptly
- Assisting with deep cleaning and seasonal cleaning
- Stepping in as a backup cleaner when other cleaning staff are unavailable
- Maintaining a consistently high standard of cleanliness and attention to detail
The ability to clean thoroughly, efficiently, and independently is essential.
Cleaning responsibilities also provide an opportunity for additional hours, particularly during busy rental seasons.
ADMINISTRATIVE & EXECUTIVE SUPPORT
Responsibilities may include:
- Managing calendars, schedules, appointments, reminders, and deadlines
- Organizing documents, files, records, and business information
- Data entry and general administrative support
- Researching information and finding solutions independently
- Running errands and assisting with occasional personal/executive tasks
- Coordinating appointments, vendors, services, and other activities
- Helping keep multiple businesses organized and moving forward
- Handling sensitive information with complete discretion
- Assisting with special projects
QUICKBOOKS & FINANCIAL SUPPORT
Experience with QuickBooks Online or financial administration is highly preferred.
Responsibilities may include:
- Working in QuickBooks Online
- Entering and organizing financial transactions
- Categorizing expenses and income
- Assisting with invoicing and receipts
- Organizing financial records
- Basic bookkeeping and financial administrative support
- Communicating with vendors, clients, and business contacts as needed
You do not need to be a full-charge bookkeeper, but you should be comfortable with numbers, financially savvy, and able to learn accounting systems.
PROPERTY MANAGEMENT
Responsibilities may include:
- Assisting with vacation rental and residential property operations
- Communicating with guests, clients, cleaners, vendors, and contractors
- Coordinating maintenance and property needs
- Assisting with scheduling and property inspections
- Monitoring properties and reporting issues
- Helping coordinate turnovers
- Responding to time-sensitive property needs
- Assisting with supplies and inventory
- Supporting the overall guest and property experience
TRAVEL & CUSTOMER SERVICE
Responsibilities may include:
- Assisting with travel research and planning
- Helping coordinate travel arrangements and itineraries
- Communicating with customers and clients
- Providing professional and friendly customer service
- Assisting with travel-related administrative tasks
SALES & BUSINESS DEVELOPMENT
Sales experience is a bonus and may provide opportunities to earn additional income.
Responsibilities may include:
- Customer follow-up
- Lead generation and outreach
- Supporting sales and client communication
- Assisting with business development
- Identifying opportunities to improve operations
- Commission-based opportunities may be available for qualifying sales or business-development activities

A "WEAR MANY HATS" PERSONALITY IS A MUST.
You may be cleaning a rental property in the morning, working in QuickBooks later that day, responding to a customer, running an errand, checking on another property, or helping with a travel request.
We need someone who enjoys variety and can transition between completely different types of work without losing organization or attention to detail.

- Airbnb / VRBO
- Property management
- QuickBooks Online
- Bookkeeping or financial administration
- Administrative or executive assistance

- Personal/executive assistance
Cleaning experience and strong financial/administrative aptitude are particularly valuable for this position.
You do not need experience in every area. We are more interested in finding someone who is capable, dependable, adaptable, and willing to learn.
SCHEDULE & HOURS
This is a part-time position with the opportunity for hours to grow.
- Starting hours may range approximately 5–10 hours per week
- During busy/high rental seasons, hours may increase to 20–30 hours per week
- Additional hours may become available as the businesses grow
- Cleaning and property turnover needs can provide opportunities for additional hours
- Schedule may vary depending on business and property needs
SCHOOL-HOUR FLEXIBILITY
We understand that flexibility is important, particularly for someone with school-aged children.
Whenever possible, work can be scheduled during school hours.
However, because this position supports vacation rentals and time-sensitive property operations, there may occasionally be pre-scheduled turnovers, events, appointments, or other business needs outside of normal school hours.
We will make every effort to provide advance notice whenever a specific schedule is required.
LOCATION
This is primarily an in-person position, approximately 95% in person, with approximately 5% of work potentially able to be completed remotely depending on the task.
Work locations may change depending on where assistance is needed.
The position will primarily operate within approximately 30 miles of downtown Petoskey, Michigan.
Because the position involves multiple properties, errands, appointments, cleaning, and business operations, reliable transportation and the ability to travel between local locations is important.
