Job Summary
We are seeking a dependable Scheduler to support daily office operations. This role is critical to ensuring caregiver coverage, maintaining accurate schedules, and supporting quality care for our clients.
Responsibilities
- Coordinate and schedule caregiver assignments using the client information system
- Ensure full coverage of all client cases while respecting client preferences and continuity of care
- Manage day-to-day staffing needs, including call-outs, shift changes, vacations, and urgent coverage requests
- Communicate schedules and changes clearly with caregivers, clients, families, case managers, and referral sources
- Monitor daily service delivery and address scheduling or service concerns promptly
- Maintain accurate, up-to-date schedules, notes, and documentation
- Identify and respond to changes in client needs, caregiver availability, or care requirements
- Maintain continuity of care by matching clients with consistent caregivers whenever possible
- Track staffing coverage, open shifts, and scheduling gaps; recommend solutions as needed
- Ensure schedules align with authorized service hours and care plans
- Serve as a primary point of contact for caregivers regarding scheduling questions
- Assist with recruiting, hiring, onboarding, and orientation of new caregivers
- Support caregiver engagement and retention through consistent communication
- Escalate urgent staffing or service concerns when appropriate
- Participate in on-call scheduling support as required
- Communicate professionally, respectfully, and with sensitivity at all times
- Problem-solve independently while knowing when to seek guidance
Qualifications
- Bilingual Spanish/English (preferred)
- High School Diploma or GED (required)
- Strong verbal and written communication skills
- Excellent organizational and multitasking abilities
- Scheduling, data entry, or home care office experience (preferred)
- Proficiency with Microsoft Office (Mac experience a plus)
- Ability to work independently with minimal supervision
- Strong problem-solving and decision-making skills in a fast-paced environment
- Ability to remain calm and professional in time-sensitive situations
- Experience handling sensitive conversations with empathy
- Strong time-management skills and reliability
- Comfort learning and using scheduling or client management systems
- High attention to detail and commitment to accurate documentation
- Understanding of confidentiality and professionalism in a care-based setting
