Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Operate multi-line phone systems with professionalism, directing calls accurately and taking detailed messages when necessary.
- Manage appointment scheduling and calendar coordination using office management software and Google Workspace tools.
- Maintain organized filing systems, perform data entry, and ensure accurate record keeping through meticulous proofreading and document management.
- Handle clerical duties such as photocopying, faxing, mailing, and managing correspondence efficiently.
- Support office management tasks including supply inventory control, basic bookkeeping with QuickBooks, and general administrative support.
- Assist with customer support inquiries via phone or email, providing courteous assistance and resolving issues effectively.
- Maintain a tidy reception area and ensure all office equipment is functioning properly, adhering to high standards of cleanliness and organization.
- Demonstrate excellent phone etiquette and communication skills while supporting a diverse range of administrative functions.
Experience
- Prior experience in office administration or reception roles is required, ideally within a professional or healthcare environment such as dental or medical offices.
- Proven proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Familiarity with multi-line phone systems, data entry procedures, filing systems, and clerical tasks is essential.
- Bilingual abilities are highly desirable to effectively serve diverse client populations.
