We are seeking a detail-oriented and highly organized Administrative Professional with exceptional communication and multitasking skills. This role performs a wide range of standard and confidential administrative duties requiring strong experience, good judgment, and thorough knowledge of organizational processes. The position typically supports the Training Director and plays a key role in ensuring the smooth operation of departmental functions.
Responsibilities
- Prepare memoranda, correspondence, meeting minutes, records, and reports; support the coordination, preparation, and distribution of departmental materials.
- Update, maintain, and organize departmental manuals, guidebooks, and operational policy documents.
- Answer incoming calls, take messages, direct inquiries, and greet/assist visitors; resolve routine and complex questions with professionalism.
- Assess operational challenges, make timely decisions, and support effective issue resolution.
- Identify opportunities to streamline processes and contribute innovative administrative solutions.
- Manage appointment calendars, schedule meetings, and coordinate travel arrangements.
- Open, sort, and distribute mail; handle copying, filing, and maintenance of equipment/personnel lists.
- Work independently with minimal supervision; assist in onboarding and training new team members.
- Collaborate with another secretary or administrative professional on projects as needed.
- Serve as a liaison with internal departments and external partners regarding purchasing, facilities, operations, and related matters.
- Perform additional duties as assigned.
- Maintain regular and reliable attendance.
Requirements
- Minimum of 2 years of experience in general secretarial work with administrative responsibilities.
- High school diploma or GED required; vocational, technical, or business training preferred.
- Professional institute designations or progress toward obtaining them preferred.
Skills/Abilities
- Strong verbal, written, and active-listening communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Excellent time-management and organizational abilities.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Experience with Canva, Snagit, Camtasia, Power BI, Adobe PDF Pro, and Auto Mail Merge is a plus.
