The Executive Assistant is the operational backbone of Sexton & Co Marketing. This role works directly alongside the President to keep daily operations running, communications organized, and priorities moving forward. It touches every part of the business: client contracts, meeting preparation, sales support, recruiting coordination, and office operations.
This is a high-trust, high-visibility seat. You will be trusted with sensitive information, given real responsibility, and expected to take ownership without being prompted. OBJECTIVES & RESPONSIBILITIES
Supporting the President
- Manage the President's calendar, keeping it organized, conflict-free, and protected for high- value work
- Organize incoming email each morning so the President sees only what needs a direct decision
- Attend the 8:45 AM all-team standup and align directly with the President on the day's priorities
- Prepare a brief written summary at the end of each day covering what was completed, what is in progress, and anything that needs attention
- Maintain a running record of commitments made in meetings and follow up to make sure they happen
Meeting Preparation & Follow-Up
- Prepare a short briefing document before every external call, covering background, recent activity, and open items
- Complete next-day meeting prep before leaving each afternoon
- After meetings, record next steps, confirm ownership, and make sure nothing gets lost
Sales & Client Pipeline Support
- Pull contact lists, run reports, and keep records current in HubSpot to support the
President's outreach
- Draft follow-up messages for conversations or proposals that have gone quiet, for the President to review and send
- Each Monday, prepare a list of contacts who need outreach that week with relevant background and talking points
- Track where client proposals and agreements stand and keep the President informed
Contracts, Onboarding & Client Coordination
- Send client agreements, collect signatures, and track outstanding items until complete
- Schedule and coordinate new client onboarding meetings
- Once a new engagement is confirmed, route payment details to the appropriate internal channel for billing processing. No access to financial systems or billing records
- Make sure every new client has a smooth, organized start from the moment they sign
Recruiting & Hiring Support
- Post open positions to LinkedIn, job boards, and relevant industry channels
- Track applicants, coordinate interview scheduling, and keep candidates informed throughout the process
- Manage all candidate communications from initial contact through offer logistics alongside the VP of Operations
- Prepare onboarding schedules and coordinate tool access and intro meetings for the new team members
Office & Day-to-Day Operations
- Be the first point of contact for clients, candidates, and guests. Set a professional, welcoming tone
- Keep office systems, supplies, and vendor relationships running smoothly
- Coordinate travel for industry events, client visits, and partner meetings, including transportation, accommodations, and itineraries
- Maintain organized records and files so information is easy to find when needed
Process Documentation & Executive Projects
- Help identify day-to-day processes that are not yet documented and work with the team to get them written down
- Draft internal policies, such as office procedures and general administrative processes
- Support ad-hoc research, documentation, and project work as directed by the President

Gets things done without being reminded. Assigned tasks are completed. When something cannot be finished on time, it is communicated before anyone has to ask.

SKILLS & EXPERIENCE
No degree required. We hire for skill, track record, and judgment.
Must-Haves:
- 3 to 5 years in an executive assistant, operations, or similar support role in a small business, agency, or fast-moving environment
- Experience supporting a senior leader directly, not just general office coordination
- Proficient in Google Workspace (Gmail, Calendar, Docs, Sheets, Drive) every day
- Comfortable in Slack, HubSpot, and Harvest; picks up new tools quickly without needing step-by-step guidance
- Open to working in an AI-assisted environment using tools like Claude. No prior experience required, just a willingness to learn
- Strong writer; emails and documents are clear, professional, and easy to act on
- Highly organized with a consistent track record of following through
- Available to work in-person in Lithia, FL, Monday through Friday
Nice-to-Haves:
- Background in marketing, media, or a creative agency
- Genuine interest in automotive, powersports, marine, or motorsports
- Experience supporting a sales process or working with a CRM like HubSpot
PHYSICAL REQUIREMENTS
- Primarily desk-based with extended periods at a computer
- Occasional lifting of up to 20 lbs for office supplies or event materials
- In-office Monday through Friday, 8:30 AM to 5:00 PM, with occasional flexibility for travel support or industry events

Salary:
$65,000 base eligible for a 10% performance bonus
