Job Summary
We are looking for a Front Desk Administrator that serves as the primary representative of the office, helping ensure every guest and employee receives a professional, welcoming, and efficient experience. This role manages daily front office operations, including greeting visitors, answering and routing calls, maintaining schedules, and supporting administrative workflows. The administrator keeps the reception area organized, coordinates meeting logistics, assists with documentation, and provides responsive support to internal teams. Strong communication, attention to detail, and the ability to multitask in a fast-paced environment are essential to success in this position.
Key Responsibilities
Mail & Deliveries
- Collect and open all incoming mail
- Check every piece of mail for checks — set aside immediately for processing
- Deposit checks and prepare daily check log that gets emailed for approval
- Scan check destruction log to compliance and shred checks 30 days old
- Sort remaining mail for the appropriate recipients
- Make copies of any incoming correspondence and image to compliance
- Prepare outgoing FedEx envelopes throughout the day; send out at end of day
- Prepare end of week walk through sheet (every Friday) and scan to compliance
- The end of each MONTH print Fax Log and scan to compliance
- Once a MONTH prepare Certificate of Destruction Log and scan to compliance
Greeting Clients
- Open the door and warmly welcome clients as they arrive
- Offer water or coffee
- Promptly notify the advisor their client has arrived
- If you know who's coming in advance, greet them by name — advisors should send notice or use the shared calendar
Conference Room - Check before each meeting:
- Drinks are stocked
- Pens and notepads are available
- Chairs are straightened and tidy
Kitchen
Morning setup:
- Ensure K-Cups are filled
- Put out sugar and creamer
- Unload the dishwasher
- Turn on TVs, lights, and music
Throughout the day:
- Wipe surfaces after team lunches
- Clean up any catering
- Sanitize high-traffic areas
- Monitor the ice maker
End of day:
- Turn off TVs, lights, and music

- Contacting wholesalers
- Coordinate ordering for group lunches as needed
- Track preferences and dietary restrictions over time
Office Birthdays
- Track birthdays for all team members
- Ensure someone is bringing in a treat to celebrate
- Hang birthday banner in the office
- Send a celebratory email to the full team
Qualifications:
- Education: Bachelor's degree in finance, Financial Planning, Economics, Business Administration, Accounting, or a related field.
