Office Support
- Ensure supplies are maintained and replenished as necessary.
- Oversee the management of the coffee bar, including the weekly and monthly procurement of coffee and supplies, as well as maintaining cleanliness and sanitation standards.
- Answer the phones.
- Keep track of attendance.
- In the absence of the Office Manager, I assume all of their responsibilities, excluding HR-
related matters. Duties include managing the calendar, coordinating background checks,
overseeing emergency drills, handling mail, organizing Wintermeister (ski Fridays), and
supporting various other functions.
- Provide care for students who are ill or injured, including communicating with parents,
administering medication as appropriate, and ensuring the sick room is cleaned and sanitized
after use.
- Maintain a clean and organized office environment.
- Coordinate with vendors regarding the copy machine, shredding services, and paper cutter sharpening.
Academic Eats
- Liaison between Academic Eats (lunch program) and Seven Peaks School.
- Organize the lunch ledger for primary and middle school, and pass out lunches to students.
- Coordinate with Academic Eats regarding any missing lunches, errors, or related concerns.
- The process of planning, coordinating, and developing the menu begins in the summer season.
Middle Years Exploration Program
- Procure, organize and create a year’s worth of weekly electives for students.
- Outsourced and in-house options, begin in the spring of the current year for the following year.
- Create the selection form and place students in classes.
- Communicate with families regarding payment arrangements, volunteer opportunities, and related matters.
World Leadership School Logistic Coordinator
- Lead and coordinate the WLS parent meeting during the fall.
- Coordinate with WLS to arrange flights for all three trips, starting in the summer before the school year begins.
- Primary point of contact for parents and WLS regarding logistical arrangements for all three trips.
- Accounting assistant responsible for collecting and communicating financial information.
- Assist with trip preparations, including medical kits, itineraries, flight details, and related arrangements.
Registrar
- Process and maintain records for all incoming and outgoing students.
- Organize cumulative files for the school year.
- Create new cumulative files.
- Send or deliver cumulative files to schools.
Aftercare
- Manage the monthly schedule.
- Maintain regular communication with parents through daily, weekly, or monthly updates tailored to their preferences and needs.
- Send emails to teachers regarding the daily schedule, including updates, changes, punch cards, and logistical information.
- Process payments for punch cards.
Medical
- Ensure the medical cabinet and medical kits are properly stocked; order supplies as needed.
- Manage student and teacher medications.
- Provide medical information to teachers prior to travel.
- Primary point of contact for medical information.
Early Childhood
- Ensure Seven Peaks remains in full compliance with licensing requirements, including those related to classroom environments and instructional staff.
- Maintain and update Early Childhood compliance notebooks as needed, including training records, medical documentation, and drill logs.
- Distribute updated forms and documentation to teaching staff.
- Provide ongoing supper to the Early Childhood Director and teaching staff.
Parent Experience
- Demonstrating a deliberate commitment to building trusting relationships with students and parents.
- Facilitating personal greetings during drop-off and pick-up by knowing the names of all students and their parents/caregivers.
- Sending follow-up communication to parents when students are injured or experiencing health or emotional concerns at school.
- Responding to all emails promptly and making efforts to address inquiries, including seeking additional information when necessary.
- Serve as a professional sounding board for parents, passing along in-person feedback to appropriate constituents, whether positive or negative.
- Engage with families to address their inquiries, provide scheduling assistance, offer emotional support, and respond to any other concerns they may have.
