Job Description: The Office & Accounting Coordinator is responsible for managing the company's day-to-day bookkeeping functions while supporting the daily administrative operations of the office. This position requires someone with a solid working knowledge of QuickBooks who is equally comfortable handling front office responsibilities, answering phones, greeting visitors, and helping keep the office running smoothly. The ideal candidate is organized, detail-oriented, and enjoys wearing multiple hats in a collaborative environment.
Key Responsibilities:
· Perform day-to-day bookkeeping using QuickBooks.
· Process accounts payable and accounts receivable.
· Record financial transactions and maintain accurate accounting records.
· Reconcile bank accounts and company credit card statements.
· Prepare customer invoices and monitor outstanding receivables.
· Process vendor payments and maintain vendor records.
· Assist with month-end and year-end financial reporting.
· Work with the company's CPA or accounting firm as needed.
· Maintain confidentiality of all financial and employee information.
· Serve as the first point of contact by answering phones and greeting visitors.
· “Gatekeep” to ensure the appropriate parties
· Order and maintain office and breakroom supplies.
· Serve as the first point of contact for visitors and phone calls, professionally screening inquiries and managing access to company personnel by enforcing visitor policies and minimizing unnecessary interruptions to maintain workplace productivity.
· Keep common office areas organized and professional.
· Maintain organized electronic and physical filing systems.
· Assist with travel arrangements and other administrative tasks.
· Support leadership and employees with general office needs.
· Perform other administrative and accounting duties as assigned.
Qualifications:
· 3–5 years of bookkeeping or accounting experience.
· Good working knowledge of QuickBooks is required.
· Experience with accounts payable, accounts receivable, bank reconciliations, and general bookkeeping.
· Previous administrative, receptionist, or office support experience preferred.
· Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
· Strong organizational skills and attention to detail.
· Excellent verbal and written communication skills.
· Ability to work independently while supporting a team environment.
· Professional, dependable, and willing to assist wherever needed.
