Job Summary
We are seeking a dedicated and detail-oriented Administrative Assistant Project Manager to support our team in various mitigation and construction projects. The ideal candidate will possess strong organizational skills and be comfortable working in a fast-paced environment. This role involves assisting with administrative tasks as well as providing office phone coverage to ensure projects run smoothly and efficiently.
Responsibilities
- Assist in the preparation and management of project documentation, including filing and organizing files.
- Maintain project schedules and calendars, ensuring all deadlines are met.
- Maintain job file organization and compliance oversight and auditing.
- Provide clerical support, including proofreading documents and managing correspondence.
- Maintain job invoicing, accounts receivable and collections.
- Answer phone calls professionally, addressing inquiries and directing calls as necessary.
- Support the team with logistical tasks, such as coordinating deliveries and managing supplies.
- Ensure compliance with safety regulations.
- Collaborate with team members to maintain clear communication regarding project updates and requirements.
Experience
- Previous experience in a construction environment is preferred but not required.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Proficiency in computer literacy, including familiarity with office software (e.g., Microsoft Office Suite).
- Excellent phone etiquette and customer service skills to interact positively with clients and team members.
- Experience in calendar management and clerical tasks is a plus.
- A background as a property insurance claim service or similar role can be beneficial for managing documentation effectively.
