Position Description - The Business Office Specialist provides essential administrative and transactional support to
ensure accurate and efficient financial operations at Maine Central Institute. This position directly contributes to timely
payments, effective customer service to families, faculty, students, and vendors, and strong internal controls across
Business Office processes. The role supports multiple functions including accounts payable, petty cash, filing, and general
office functions.

Position Description - The Business Office Specialist provides essential administrative and transactional support to
ensure accurate and efficient financial operations at Maine Central Institute. This position directly contributes to timely
payments, effective customer service to families, faculty, students, and vendors, and strong internal controls across
Business Office processes. The role supports multiple functions including accounts payable, petty cash, filing, and general
office functions.
Key Responsibilities -
Accounts Payable:
- Maintain vendor records (W-9 collection, insurance certificates, etc.)
- Process vendor invoices
- Track purchase card receipts, assist employees with submission and coding
- Prepare AP payment runs, distribute checks, and support electronic payment processes
- Manage Amazon Account, incoming/outgoing mail, scanning, and digital file storage
- Provide excellent customer service at the Business Office
- Assist with month-end tasks such as reconciliations and supporting schedules
- Maintain adherence to internal controls across all workflows
- Support audits, reporting requests, and special projects as assigned
- High school diploma or equivalent; associate degree in accounting, business, or related field preferred
- Minimum 2 years of administrative or accounting support experience
- Proficiency in Microsoft Office/Google Workspace; ability to learn new software quickly
- Excellent organization skills, attention to detail, and accuracy in data entry
