Overview:
The Claims Coordinator is the central point of communication for all restoration claims. This role is responsible for client communication, customer service, job documentation, dispatch logistics, and ensuring compliance with insurance carrier service level agreements (SLAs) and internal cycle time standards. A successful candidate will be detail-oriented, able to multitask across multiple claims, and thrive in a fast-paced, dynamic environment.

Key Responsibilities:

  • Manage claims from First Notice of Loss through job completion within CRM systems
  • Coordinate and dispatch technicians based on job needs and priorities
  • Monitor claims for compliance with required carrier SLAs and cycle times
  • Perform client care calls and maintain ongoing communication with homeowners, insurance adjusters, and mortgage companies
  • Review and upload documents, photos, and notes in real-time and follow up for any missing documentation
  • Assist with or create estimates in Xactimate; review for completeness and accuracy
  • Resolve customer service issues and escalate concerns when needed
  • Maintain daily job notes and ensure proper documentation across all phases of the job
  • Collaborate with Project Managers, Estimators, and field teams to keep projects on track

Qualifications:

  • High school diploma or GED required; college degree preferred
  • 1–3 years of experience with Xactimate (X1 or 28)
  • Exceptional communication and customer service skills
  • Highly organized with excellent time management and attention to detail
  • Proficiency in Microsoft Office and CRM platforms
  • Ability to remain calm and professional under pressure
  • IICRC certifications such as WTR, ASD, OCT, or STC are a plus

Physical Requirements:

  • Must be able to sit for long periods and work at a computer
  • Occasional lifting up to 20 lbs
  • Frequent hand movements for typing and phone use
  • Must be able to read, write, and communicate effectively
