What are the responsibilities and job description for the AP/AR Specialist and Asset Manager position at Service and Supply Solutions Company?
RLI Solutions is hiring an AP/AR Specialist and Asset Manager to manage accounts payable, accounts receivable, fleet/asset tracking, and operational coordination across our service and transport business.
Accounts Payable
- Manage weekly AMEX credit card reconsiliations and receipts
- Coordinate & process vendor payments using Quickbooks Online
Accounts Receivable
- Generate invoicing and post payments in Fullbay and QuickBooks Online
- Verify and record bank deposits weekly by reconciling Fullbay, QuickBooks, and Huntington Bank reports
- Conduct AR audit reports, identify delinquent accounts, and customer follow up
- Prepare customer payment plans and track payment schedules
- Manage equipment rental billing in coordination with operations
- Conduct customer file audits and maintain customer files
- Review, process and bill driver daily reports
Asset and Equipment Management
- Assess organizational needs and manage the acquisition, replacement, and disposal of vehicles
- Establish and monitor regular maintenance schedules to reduce downtime and extend the lifespan of the assets
- Coordinate with vendors, auction houses, DMV, etc on outstanding asset transaction needs
- Ensure all vehicles comply with federal, state, and local mandates, including DOT regulations, weight restrictions, and licensing/registration
General Operations and Administration
- Support creation of tiered fee schedules and safety presentations
- Attend and contribute to weekly meetings
- Manage petty cash log and office supply ordering
- Collect new employee documents and coordinate with HR for digital file submission
- Set up new employees in Fullbay and train on system login and work order navigation
- Build weekly work order schedules and reports
