About Serve Freight

Serve Freight is a high-reliability logistics operator. We run complex freight execution for shippers and project-driven industries: transportation, warehousing, and value-added logistics for companies that cannot afford a missed delivery window, broken communication, or an unreliable carrier.


We are scaling fast in 2026. This role is part of building the operational backbone that enables that scale.


The Role

You are the CEO's Executive Assistant and first line of defense. Your job is simple to state and hard to do well: keep the CEO out of the weeds so he can spend his time on the things only he can do.


You own the calendar, the inbox, the travel, and the daily rhythm around him, and you wear the project management hat for the things he hands off. You protect his time with disciplined time-blocking, you carry tasks across the finish line so they do not stall, and you make the small calls that would otherwise sit waiting on him. You use judgment. When something is unclear, you push, you problem-solve, and you do not just take an answer at face value and move on.

Roughly 70% of the work is recurring executive support with a clear cadence. The other 30% is ad hoc coordination, follow-up, and figuring things out with little direction, the kind that happens at every fast-growing company.


What You Will Do

Calendar and inbox

  • Own the CEO's calendar end-to-end: scheduling, rescheduling, and resolving conflicts without being asked twice
  • Triage and prioritize the CEO's inbox; surface what matters, handle what you can, route the rest
  • Prepare agendas, pre-reads, and follow-up action items so every meeting starts and ends clean
  • Coordinate travel logistics end-to-end

Project management and follow-through

  • Own the small projects and initiatives the CEO hands off: track them, push them forward, and close them out
  • Keep initiatives on timeline and reschedule when circumstances change
  • Chase down loose ends and answers on the CEO's behalf (for example, checking in with team members on the status of an account or a deliverable)
  • Be the point of contact between the CEO and the internal team across operations, accounting, and brokerage
  • Triage what you can handle yourself versus what genuinely needs to be escalated

Coordination and ad hoc

  • Handle the tactical items that pile up, ie. distribution groups, vendor onboarding steps, and similar light setup work
  • Pick up ad hoc requests on the fly and run them to ground without hand-holding

SOP and information management

  • Own, organize, and maintain the SOP repository so it stays current as the business grows
  • Keep documentation, files, and shared systems organized and easy to find
  • Update and refine SOPs as processes change; you should know enough to draft when needed, but the core job is keeping the repository accurate and usable


What You Decide vs. What You Escalate

This is not a wait-for-approval role. You will make real calls inside clear boundaries.

You decide:

  • How to resolve conflicts on the CEO's calendar
  • How to triage and route incoming requests to the right person
  • How to sequence and reschedule internal project timelines when circumstances change
  • How to handle routine setup and coordination tasks without waiting for sign-off

You escalate:

  • Any commitment to an external party (customers, carriers, vendors)
  • Spend above the defined threshold
  • Changes to sales processes, compensation, or pricing
  • Anything strategic, or anything that changes another team member's scope


Who You Are

We want someone who has actually done this, not someone theorizing about it. The right person:

  • Has 2 to 5 years as an executive assistant, ideally supporting a CEO or founder directly
  • Comes from logistics, freight, supply chain, or a similar high-tempo, operationally demanding industry
  • Brings a project manager's instinct: keeps things moving, tracks the details, and closes the loop
  • Has a whatever-it-takes attitude: takes ownership, does not clock-watch the scope, and is not afraid to get in the weeds
  • Is strong-willed and will push back, ask the hard question, and call things out when something is off
  • Uses intuition and judgment; does not take an answer at face value and move on
  • Is exceptionally organized and stays on top of multiple priorities at once
  • Writes clean emails and prepares clear materials without hand-holding or heavy editing
  • Is discreet and trustworthy with confidential information


Tools You Will Use

You do not need to be an expert in all of these on day one, but you should pick them up fast and run inside them independently.

  • Transportation Management System
  • Google Workspace (Calendar, Docs, Sheets, Slides, Gmail) and admin basics like distribution groups
  • Slack (internal communication)
  • Notion (process documentation and SOP repository)
  • HubSpot (CRM) familiarity is a plus


What Success Looks Like

At 30 days:

The CEO has measurably more free time. Calendar, inbox, and travel run without daily direction. Recurring tasks have transferred to you and are on schedule.

At 60 days:

You are owning handed-off projects end to end and keeping them on timeline. You are making calls inside your authority and the SOP repository is organized and current.

At 90 days:

The CEO treats you as an extension of himself. The administrative load is off his plate. Internal stakeholders come to you directly. You run on a clear weekly rhythm with minimal oversight.


Requirements

  • Based in or near Asheville, NC, this is a hybrid role with regular in-person time
  • Available during standard business hours, with flexibility inside that window
  • Reliable internet and a quiet, professional setup for remote days
  • Strong written English


What This Role Is Not

  • Not a data or analytics role. Reporting and dashboards are owned by another team.
  • Not a sales or business development role.
  • Not a strategy seat. You execute and support the CEO; you do not set company direction.


Compensation

  • $85,000 to $105,000 per year, depending on experience
  • Full-time, W2 employee
