Role Description
This is a high-trust, high-impact role supporting a busy real estate principal with multiple active businesses. You will act as the central nervous system for day-to-day operations — anticipating needs, keeping projects on track, and making sure nothing important slips. You’re not just reacting to tasks. You’re owning outcomes.
Core Responsibilities
1. Executive Support (Strategic, Not Clerical)
- Own principal's calendar with context and intent, not just scheduling
- Prioritize meetings, prep agendas, flag conflicts, and protect deep-work time
- Draft, organize, and follow up on important emails and communications
- Act as a thoughtful gatekeeper with clients, partners, and vendors
2. Operations & Project Management
- Track multiple concurrent projects (listings, developments, rentals, investments)
- Maintain task systems, timelines, and accountability across stakeholders
- Follow up relentlessly — contractors, agents, designers, lenders, attorneys
- Create simple SOPs and checklists where chaos currently lives
3. Real Estate–Adjacent Execution
- Coordinate listing prep, escrow timelines, inspections, disclosures, and deadlines
- Assist with rental property operations (leases, renewals, tenant communications)
- Organize deal docs, due diligence files, and transaction records
- Liaise with accountants, bookkeepers, and legal advisors as needed
4. Marketing & Growth Projects
- Support and execute marketing initiatives that grow the overall business
- Coordinate campaigns across personal brand, client outreach, referrals, and long-term relationship building
- Coordinate marketing initiatives across listings, personal brand, and business entities
- Manage timelines for listing launches, photography, staging, collateral, and online distribution
- Assist with CRM organization, client follow-ups, and marketing campaigns
- Coordinate with photographers, designers, videographers, and marketing vendors
- Keep marketing assets, copy, and calendars organized and on schedule
5. Business & Personal Admin
- Track expenses, reimbursements, and recurring payments
- Help with travel planning, scheduling around family commitments, and life logistics
- Keep digital systems organized (Drive, CRM, project tools)
Qualifications
Must-Haves
- 5 years as an EA, Operations Manager, or Chief of Staff–type role
- Exceptionally organized, calm under pressure, and proactive
- Strong written communication — clear, concise, professional
- Comfortable managing up and pushing back when needed
- Tech-savvy (Google Workspace, CRMs, task tools, spreadsheets)
Nice-to-Haves
- Real estate, finance, or professional services background
- Experience supporting entrepreneurs or founders
- Familiarity with escrow processes, listings, or property management
- Bay Area local knowledge
