Client Care Coordinator

Do you value mental and emotional well-being as part of a person’s overall wellness? Serenium Therapy & Wellness is looking for a highly organized, detail-oriented, and motivated front desk associate to provide in person support for our NJ residents at one of our locations.

As a part of the Front Desk team at Serenium, you will help our clients feel a sense of serenity and balance while speaking with them on the phone or in person. You will be responsible for providing exceptional administrative support to ensure the smooth operation of our mental health office. The ideal candidate will have previous experience in a medical office setting and possess excellent communication and customer service skills.

Key Job Responsibilities:

• Greet and check-in patients, ensuring a positive and welcoming experience
• Schedule appointments and manage the appointment calendar
• Collect necessary insurance and demographic information
• Answer phone calls and direct inquiries to the appropriate staff member
• Maintain patient records and complete medical records request
• Handle patient inquiries, provide information, and address concerns
• Assist with billing tasks as required
• Ensure compliance with HIPAA regulations and maintain patient confidentiality
• Collaborate with medical staff to ensure efficient patient flow

Basic Qualifications:

• Must be available to work a full 40 hour week, 5 days a week in office, M-F
• Must be available to work one-two closing shifts (typically 11:30a-8p)
• Strong computer skills, including proficiency in Microsoft Office Suite
• Excellent organizational skills with the ability to multitask and prioritize tasks effectively
• Exceptional attention to detail and accuracy in data entry
• Strong interpersonal skills with the ability to communicate effectively with patients, staff, and external stakeholders
• Knowledge of HIPAA regulations and commitment to maintaining patient confidentiality

Preferred Qualifications:

• Previous experience working in a medical office or similar administrative role
• Bilingual is a plus
