We are seeking a part-time, on-site staff member—with the potential for full-time employment in the future—to join our team as a Front Office Coordinator. In this important role, you will support daily clinic operations by assisting patients with scheduling, registration, and check-in, while ensuring excellent customer service and a welcoming environment for all who visit Serenity Care Health Group.
Responsibilities:
- Greet and assist patients in a professional, courteous, and welcoming manner.
- Manage the check-in and check-out process, including verifying patient identity, insurance coverage, and demographic information.
- Schedule, reschedule, and confirm patient appointments to maintain efficient provider schedules.
- Collect co-pays, fees, and outstanding balances following clinic policy; provide receipts and maintain accurate records of transactions.
- Answer and route phone calls, emails, and messages promptly and accurately.
- Maintain confidentiality and compliance with HIPAA and organizational policies.
- Ensure all necessary forms and consents are completed and scanned into the electronic health record (EHR).
- Coordinate communication between clinical, administrative, and billing teams to support smooth patient flow.
- Monitor waiting areas and ensure a clean, organized, and welcoming environment.
- Assist with daily reconciliation of front desk transactions, deposit logs, and end-of-day reports.
- Support provider schedules by managing cancellations, waitlists, and same-day appointments.
- Track and document no-shows and communicate with care coordination or outreach staff for follow-up.
- Participate in team meetings, training, and performance improvement activities as assigned.
- Provide administrative support for special projects or community outreach events when needed.
Qualifications:
- High school diploma or equivalent REQUIRED
Knowledge, Skills, and Abilities
- Excellent interpersonal and communication skills (in-person, phone, and written)
- Strong organizational and multitasking abilities in a fast-paced environment
- Professional, courteous demeanor with a focus on patient-centered service
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Ability to maintain strict confidentiality in accordance with HIPAA
- Dependable, punctual, and able to work both independently and as part of a team
- Demonstrated ability to remain calm, compassionate, and solution-oriented when handling patient concerns or scheduling conflicts
- Minimum of 1 years of experience in a medical front office preferred
- Experience with electronic health record (EHR) systems preferred
- Khmer speaker REQUIRED
