Job Summary
The DOT Administrator will be responsible for but not limited to supporting Sequoias Tree Expert’s DOT compliance program by maintaining accurate driver records and ensuring required documentation is current and complete. This position coordinates driver qualification requirements, MVRs, medical cards, drug and alcohol testing, Clearinghouse requirements, and other DOT compliance activities while working closely with HR, Safety, Fleet, and Operations.
Essential Functions and Responsibilities
· Maintain accurate and complete Driver Qualification (DQ) files.
· Coordinate DOT requirements for new drivers, including MVRs, drug testing, medical cards, and required documentation.
· Monitor expiration dates for CDL/licenses, medical cards, certifications, and other driver credentials.
· Coordinate and track DOT random drug and alcohol testing.
· Assist with FMCSA Clearinghouse requirements and queries.
· Review driver records for missing, expired, or incomplete documentation and follow up as needed.
· Maintain records related to accidents, violations, citations, and corrective actions.
· Assist with DOT audits, inspections, and compliance reviews.
· Prepare DOT reports, tracking logs, and compliance spreadsheets.
· Maintain accurate driver information in company systems and HRIS.
· Coordinate with HR, Fleet, Safety, and Operations regarding driver qualifications and compliance.
· Maintain confidentiality of employee, medical, and testing information.
· Ensure DOT records are maintained according to applicable requirements and company policies.
· Perform other DOT and administrative duties as assigned.
Qualifications and Skills
· High school diploma or equivalent required
· 1–3 years of DOT, transportation, safety, or compliance experience preferred.
· Knowledge of DOT/FMCSA requirements and Driver Qualification files preferred.
· Experience with MVRs, drug and alcohol testing, Clearinghouse, and medical cards preferred.
· Strong organizational and recordkeeping skills.
· Excellent attention to detail and follow-up skills.
· Proficient in Microsoft Office and Excel.
· Ability to manage confidential information.
· Strong written and verbal communication skills.
· Bilingual English/Spanish preferred.
Physical Requirements
· Ability to sit for extended periods, typically 6–8 hours per workday
· Frequent use of hands and fingers for typing, data entry, and document handling
· Ability to view and work on a computer screen for prolonged periods
· Clear verbal and written communication with team members and clients
· Occasional standing, walking, and bending throughout the workday
· Ability to lift and carry light items (up to 15 pounds), such as files or office supplies
· Ability to maintain focus and accuracy while performing repetitive tasks
Work Environment
This position operates in a professional office setting and involves routine use of standard office equipment such as computers, phones, and printers. The role is primarily sedentary, with most of the work performed at a desk in a climate-controlled environment. The work environment is typically quiet to moderate noise levels.
Pay: $47,000.00 - $55,000.00 per year
