About the Role:
Position Overview:
We are seeking a highly motivated and detail-oriented Intake Specialist to support our Pathways program. The Intake Specialist will guide prospective participants through every stage of the intake process, assessing their skills, interests, and needs to ensure they are fully prepared for program enrollment. For individuals not yet program-ready, the Intake Specialist will provide guidance and connect them with appropriate support resources.
Key Responsibilities:
- Lead a seamless, client-centered intake and enrollment process.
- Maintain accurate and up-to-date participant information in both electronic databases and physical records.
- Collaborate with QCH program sites to support outreach efforts, open house events, and scheduling needs.
- Proctor TABE testing and administer soft skills assessments as required.
- Conduct individualized post-secondary planning assessments.
- Transition candidates to program coaches with a clear, actionable plan.
- Build relationships with internal staff and coordinate referrals across partner agencies.
- Conduct intake and follow-up appointments via phone, in person, and at outreach locations.
- Clearly communicate program eligibility requirements and participation expectations.
- Document intake screenings and maintain comprehensive applicant files.
- Deliver exceptional customer service throughout the enrollment process.
- Represent QCH at Family Support Coordination meetings and agency-wide events.
- Provide administrative support and perform other duties as needed.
Qualifications:
Required:
- Associate or Bachelor’s degree, or three (3) years of relevant experience.
- Proficiency in Dropbox and Microsoft Office Suite (Word, Excel, PowerPoint, OneDrive, OneNote).
- Strong interpersonal, communication, and problem-solving skills.
- Detail-oriented, organized, and able to work independently.
- Ability to handle sensitive and confidential information with professionalism.
Preferred:
- Experience in customer service, client relations, or case management.
- Familiarity with Salesforce or other database systems.
