Key Responsibilities
- Create, maintain, and adjust caregiver schedules based on client care plans
- Respond promptly to call-offs, emergencies, and last-minute scheduling changes
- Communicate professionally with caregivers, clients, and families using a multi-line phone system
- Match caregivers to clients based on skills, availability, location, and compatibility
- Accurately document all scheduling changes in WellSky/ClearCare
- Monitor overtime, hours worked, and compliance with labor regulations
- Coordinate with office staff regarding new clients, care plan updates, and staffing needs
- Participate in on-call rotation as required
- Previous scheduling experience in a home care agency (required)
- Strong computer skills (scheduling software, email, spreadsheets, databases)
- Excellent organizational and time-management skills
- Ability to multitask and prioritize in a high-pressure environment
- Knowledge of HIPAA regulations and client confidentiality standards
- Clear verbal and written communication skills
- Professional phone etiquette and strong customer service mindset
- High level of reliability, discretion, and accountability
- Experience using home care scheduling software (WellSky/ClearCare or similar)
- Understanding of caregiver availability, overtime rules, and shift coverage
- Experience working with caregivers, seniors, or healthcare clients
- Must be flexible with scheduling, including occasional early mornings, evenings, weekends, and on-call shifts
- Scheduling emergencies may occur outside of standard business hours
