We are seeking a highly organized, people-focused, and detail-driven Business Coordinator to become an essential part of our team. This is a critical operational role—not just a front desk position. The Business Coordinator serves as the central hub that keeps our center running smoothly, supporting families, staff, and leadership while ensuring accuracy in billing, scheduling, communication, and daily operations.

Key Responsibilities
Client & Family Coordination
- Serve as the primary point of contact for families, visitors, and members—delivering a warm, professional, and welcoming experience.
- Manage check-in/check-out processes with accuracy and efficiency.
- Support the coordination of member scheduling, data entry, and communication workflows.
Office & Operational Management
- Maintain a well-organized, clean, and fully functioning environment—including office supplies, equipment, and property.
- Coordinate mail, handle document preparation, maintain files, and support general office functions.
- Assist with center-wide communication.
Financial & Administrative Support
- Utilize QuickBooks to process billing, pay bills, and support financial accuracy.
- Print and mail invoices; manage reimbursement submissions.
- Prepare payroll for submission and maintain internal records.
- Support marketing and enrollment efforts by preparing information packets and sending marketing emails.
Team Support & Multi-Tasking
- Assist leadership with administrative projects, data entry, and prospect outreach.
- Support marketing, scheduling, and communication initiatives across the center.
- Ensure consistent, high-quality operational flow while managing multiple tasks and priorities at once.
