POSITION – Administrative Services Coordinator (Part-Time)

JOB LOCATION – Mequon, WI

STARTING DATE – Immediate

EMPLOYMENT TERM – Long-Term

EMPLOYMENT TYPE – Part-Time (25–30 hours/week, flexible schedule)

WORK HOURS (SHIFT) – Flexible hours, occasional evenings may be needed.

STARTING PAY – $21 to $23 per hour

BENEFITS – None

REQUIRED EDUCATION – High School Diploma or GED (Associate’s or higher preferred)

REQUIRED EXPERIENCE – Prior administrative or office support experience preferred


As an Administrative Services Coordinator, you will support the day-to-day operations of Human Resources and general office functions. This role plays a key part in keeping the organization running smoothly by providing administrative, clerical, and coordination support across departments. You will be handling a variety of tasks that require confidentiality, organization, and the ability to manage multiple priorities.

Responsibilities

Human Resources Support

  • Assist with recruiting activities including candidate screening, interview coordination, applicant tracking, and job postings
  • Maintain HR records including new hires, transfers, terminations, and employee changes
  • Support onboarding by preparing orientation materials, collecting documentation, and obtaining required signatures
  • Document HR actions through reports, logs, and personnel records
  • Assist with employee training, safety, wellness, and engagement programs
  • Support daily HR department operations

Office Services & Administrative Support

  • Coordinate office activities including employee engagement events and internal projects
  • Monitor inventory and order office, breakroom, sanitation, and safety supplies
  • Process incoming/outgoing mail and maintain postage meter
  • Provide receptionist support including phone coverage and meeting scheduling
  • Perform general clerical duties such as filing, scanning, copying, and records management

Additional Responsibilities

  • Manage uniform programs, first aid supplies, keys, and facility access distribution
  • Support special projects for leadership and various departments
  • Perform data entry, reporting, and system/database support
  • Troubleshoot routine office issues or coordinate with vendors and internal teams

Qualifications

  • Strong organizational skills with the ability to manage multiple priorities
  • High level of professionalism and ability to handle confidential information
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office and general computer systems
  • Prior experience in administrative, HR, or office coordination roles preferred
  • Ability to work independently and in a team environment
