Description
- Tasks/Description of Services
- Records Management: Services to permit access, maintenance, control, storage, disposition, and transfer of physical inactive permanent records to the AIRR, Lenexa, Kansas.
- Records shall be prepared for long-term storage in accordance with BIA in accordance with NARA and DOI guidance. (See Attachments 1-3).
- Labels will need to be on each individual file with required Departmental Records Schedule (DRS-1) for temporary/administrative records and Records Series Number & Title, Records Sub-Title, Subject Identifier, Opened Date, Cutoff Date and Disposition Instructions. Government employee(s) will be present to assist in this process. (See Attachments 4).
- Labels will need to be on each individual case file with required Indian Affairs Records Schedule (IARS) for permanent records and Records Series Number & Title, Subject Identifier 1, Subject Identifier 2, Opened Date, Cutoff Date and Disposition Instructions. Government employee(s) will be present to assist in this process. (See Job Aid).
- All inactive permanent program records shall be scanned / digitized for record keeping. Must follow NARA’s digitizing permanent records. See attachment 4 and 36 CFR Part 1236 Subpart D & E at end of SOW.
- Program records that are IARS permanent shall not be destroyed until further guidance is provided. For GRS & DRS-1/administrative, contractors must follow IARMM/DOI guidance for destruction of temporary records.
