The Role
This role supports the executive leadership team - reports to the CFO - with day-to-day administrative and operational coordination.
This is a dynamic, admin role. It is a hands-on execution role for someone who is reliable, proactive, responsive, and able to follow tasks from start to finish without constant reminders.
You will work part-time mostly mornings in the office, with additional hours during events when needed.
Work Schedule
Core office hours (required):
- Monday to Friday, 10:00 AM to 2:00 PM
- In-office at 927 S. Goldwyn Ave, Suite 201, Orlando, FL
Additional hours (as needed):
- 0–10 hours per week depending on event schedule
- Evenings and weekends when events take place
- Some months have no events, others are busy
This role requires schedule flexibility.
Key Responsibilities
Office & Administrative Support
- Answer and return calls and emails promptly
- Manage calendars and appointments for leadership
- Send calendar invites and reminders
- Greet interview candidates and prepare interview materials
- Prepare company ID badges using office badge equipment
- Maintain uniform and supply inventory
- Keep the office clean, organized, and orderly using basic 5S principles
- Perform basic Excel, Word, and Outlook tasks
- Set up new employee email addresses and basic system access
Hiring & Onboarding Support
- Download and review resumes from ADP
- Pre-screen candidates by phone
- Schedule interviews and send confirmations
- Send onboarding and welcome communications
- Update internal tracking files and licensing records
Event Support
- Support operations at venues such as Camping World Stadium and convention centers
- Check in staff as they arrive for events
- Verify timecards against actual arrival times
- Prepare event binders, sign-in sheets, and staff lists
- Ensure staff have proper badges, uniforms, and supplies
- Run pre-event errands when needed
- Flag missing supplies or issues early and clearly

What We Are Looking For
Required
- Reliable transportation and clean driving record
- Ability to work mornings during the week and occasional evenings or weekends
- Strong responsiveness and follow-through
- Comfortable working in Excel, Word, Outlook, and basic systems
- Organized, detail-oriented, and dependable
- Able to take feedback without defensiveness
- Honest time reporting
Nice to Have
- Experience in security, events, hospitality, or operations
- Security license or familiarity with the industry
- Spanish and English bilingual
- Experience supporting executives or operations teams

Compensation
- $16–17 per hour, based on fit and reliability
- 20–30 hours per week depending on operations
