Executive Assistant / Administrative Coordinator
Location: Torrington, CT
Our client is a growing commercial construction management and general contracting firm seeking an experienced Executive Assistant / Administrative Coordinator to support company leadership and assist with the day-to-day operations of the office. This role is ideal for someone who has worked for a construction company and understands the fast-paced nature of the industry, project documentation, and the importance of keeping teams organized and on schedule.
The ideal candidate is highly organized, proactive, detail-oriented, and enjoys being the central point of communication between executives, project teams, clients, and subcontractors.
Responsibilities
- Provide direct administrative support to executive leadership.
- Manage calendars, meetings, appointments, and travel arrangements.
- Prepare correspondence, reports, meeting agendas, and presentations.
- Assist with construction contracts, proposals, bid packages, subcontracts, and project documentation.
- Organize and maintain project files, ensuring documents are accurate and up to date.
- Coordinate communication between executives, project managers, field staff, clients, architects, engineers, and subcontractors.
- Track project deadlines and assist with document management throughout the life of each project.
- Support accounting with invoices, purchase orders, expense reports, and vendor documentation.
- Order office supplies and assist with general office operations.
- Welcome visitors, answer incoming calls, and provide exceptional customer service.
- Assist with special projects and other administrative duties as assigned.
Required Qualifications
- Minimum of 3 years of administrative or executive assistant experience with a commercial construction company is required.
- Strong understanding of construction project documentation, contracts, proposals, and bid processes.
- Experience supporting executives, project managers, or operations teams within the construction industry.
- Exceptional organizational and time management skills with the ability to prioritize multiple deadlines.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- High attention to detail and the ability to handle confidential information professionally.
- Self-motivated, dependable, and able to work independently in a fast-paced environment.
