Description

JOB DESCRIPTION:
Performs moderately services and technical assistance work for the Elections Division. Work involves planning, developing, and implementing operational policies and procedures. Work requires excellent written and oral communication and advanced organizational skills. Works under limited latitude for the use of initiative and independent judgment.
EXAMPLES OF WORK PERFORMED:
  • Answers, routes and/or responds to all incoming public calls and electronic correspondence as appropriate.
  • Coordinates information and material requests from county election officials, the general public, and public agencies related to election specific programs and responsibilities.
  • Tracks the distribution of materials and provides information for public information requests.
  • Assists with division purchasing and/or financial procedures including travel and logistical planning.
  • Assists with divisional inventory management and purchasing procedures.
  • Assists with division incoming and outgoing mail routing and tracking including postage application and priority mailing procedures.
  • Assists with division incoming and outgoing mail including rerouting mail to counties as needed.
  • Assists with the divisional records library management and document retention and archival schedule.
  • Prepares and disseminates certificates and correspondence to election officials statewide.
  • Assists with the preparation and dissemination of information concerning various agency programs including handbooks, instruction manuals and materials.
  • Creates surveys, compiles data, and prepares analysis and reports.
  • Assist in the organization and coordination of conferences and workshops.
  • Provide efficient, professional and courteous customer support to election officials and the general public.
  • Other work as assigned by program management.
REQUIRED QUALIFICATIONS:
  • Graduation from a standard senior high school or equivalent.
  • A minimum of two years of clerical, secretarial, or administrative work experience dealing with the public sector or large organizations.
  • Working knowledge of Microsoft Word, Excel, PowerPoint and Access.
PREFERRED QUALIFICATIONS:
  • Graduation from an accredited four-year college or university. Related professional experience may substitute for education.
  • Bilingual with the ability to translate English documents to Spanish.

  • Skill in use of personal computers and software, including developing and maintaining computerized database applications (Word, Excel, PowerPoint, and Access).

  • Ability to lift and carry boxes weighing up to thirty (30) pounds.
