We are hiring for a full-time Supply Chain Specialist to join the Project Preserve Department at Second Harvest Food Bank of Middle Tennessee.

What you’ll do:

Summary: The Supply Chain Specialist supports day-to-day purchasing, vendor coordination, order processing, and inventory activities for Project Preserve, a social enterprise program of Second Harvest Food Bank of Middle Tennessee. This role focuses on accurate data management, timely communication with vendors, coordination of freight details, and supporting internal teams to maintain smooth product flow.

Key Responsibilities:

Transportation and Order Processing Support

  • Provide daily operational support to TRAFFIX, our 3PL Freight Broker for Project Preserve, for all inbound and outbound loads tendered through TRAFFIX. NOTE: until SHFB has implemented NetSuite, some processes require manual support/processing. Once NetSuite is implemented, the integration between TRAFFIX and SHFB will automate the current manual processes.
  • Track freight timelines for Direct, Mixed and Assembly orders via TRAFFIX TMS system and escalate issues as needed to maintain smooth product deliveries.
  • Process direct-ship customer orders within the same day of receipt for approval and processing.
  • Confirm vendor order release date and schedule freight via TRAFFIX.
  • Upon delivery confirmation via TRAFFIX, gather Bill of Lading and process customer invoice within same business month as delivery.
  • Escalate issues as needed to maintain smooth Direct-ship order fulfillment and processing.


New Business Growth

  • Provide administrative and logistics support for Mixing Center collaborations, once implemented.
  • Enter/process orders within same day of receipt and maintain communication with Mixing Center.


Supplier and Vendor Management

  • Serve as day-to-day contact for assigned vendors.
  • Coordinate with assigned vendors regarding product availability and delivery status.
  • Escalate vendor-related issues and discrepancies including product delays, quality concerns, etc.
  • Assist in onboarding new suppliers as needed.
  • Maintain updated vendor/item records for assigned vendors.
  • Track/report vendor performance.


ERP, Data and Systems Administration

  • Maintain accurate item, vendor and pricing data within ERP systems.
  • Update product listings as needed on internal systems; Project Preserve website and Feeding America’s Meal Connect platform on a timely basis.


General and Administrative Support

  • Provide occasional administrative task support for Supply Chain Manager role as needed during extended absences (ie. PTO) to maintain smooth product flow.
  • Provide occasional support to Front Desk/Reception.
  • Assist with cross-department communication.

When & Where:

  • Schedule: Monday – Friday, 8:00 AM – 4:30 PM. Occasional duties may be necessary, as well as responding to issues, outside of normal working hours (e.g., disaster response, community events, etc.).
  • Travel: Occasional daytime travel required, up to 10% of work week.

  • Essential business/ first responder: In instances of a federal, state or locally declared emergency, Second Harvest is typically considered an essential business service and emergency responder. All employees may be required to perform regular or emergent duties on-site. Employee safety is balanced with business and community necessity. Some positions are more likely to be required on-site than others.


Is this you?

Education: Bachelor’s Degree required.

Experience: 2 years of related experience and/or training.

Skills & Capabilities:

  • Intermediate to advanced proficiency in Microsoft Office, particularly Outlook, Excel, and Word. Experience with NetSuite or similar Oracle-based ERP systems is a plus.
  • Learn new databases and software.
  • Interacts with all levels of the organization with confidence and professionalism.
  • Adapts to a fast-paced and sales-focused work environment.
  • Organizes, coordinates, and directs projects.
  • Oral and written communication abilities.


Competencies: Attention to detail, Safety and Risk Management, Quality Improvement, Technical Proficiency.

Other requirements: Our pre-hire process requires acceptable results from the following: professional reference feedback, criminal background, and Motor Vehicle Record. Current Driver’s License and automobile insurance are also required. Criminal backgrounds are evaluated on a case-by-case basis considering several factors (timing, frequency, severity and job relation).

Compensation & Benefits: Second Harvest is proud to offer rich and affordable total compensation packages. Full-time employment includes 34 days off, medical (employee-only is 100% employer paid), dental, vision, 403b retirement (up to 3% match, 5% base, length of service vesting), disability insurance (short and long term) and long-term care insurance.
