ORGANIZATION OVERVIEW
Southeast Bronx Neighborhood Centers Inc. (SEBNC) is a nonprofit 501(c) 3 multi-service agency that has served the Morrisania section of Bronx, New York since 1929. We serve multi-ethnic populations that are rich in diversity and cultural heritages. We offer programs and services for all ages, including infants, school-aged children, young adults and the developmentally disabled.
SUMMARY
The Executive Assistant provides high-level administrative and operational support to the Executive Director, managing complex calendars, coordinating meetings and events, and preparing documents, reports, and presentations. This role supports travel planning, tracks project deadlines, conducts research, and assists with decision-making processes while maintaining strict confidentiality. The Executive Assistant ensures seamless day-to-day operations and contributes to the efficiency and effectiveness of the executive team through organization, attention to detail, and proactive support.
DUTIES AND RESPONSIBILITIES:
- Manage complex calendars and phone calls including vetting, prioritizing, and providing recommendations.
- Prepare and organize documents, presentations, and reports for meetings, conferences, and other executive engagements.
- Assist with the scheduling of multiple stakeholder meetings as assigned.
- Contribute to leadership meetings by taking notes and tracking action items.
- Assist with event planning and coordination for all meetings as assigned.
- Make travel arrangements and process travel expense reports.
- Draft detailed travel itineraries and provide remote assistance with logistics and travel arrangements as assigned.
- Follow up and provide reminders on project deadlines and deliverables.
- Responsible for participation in general administrative duties (copying filing, faxing, archiving, ad-hoc projects, committees and or group events.
- Conduct research and gather data on various projects, initiatives, and trends to support decision-making processes.
- Maintain confidentiality and handle sensitive information with the utmost professionalism and integrity.
- Represent the Executive Director at events as assigned.
QUALIFICATIONS AND SKILLS
- 1–2 years of experience preferred as an Executive Assistant, Chief of Staff, or in a high-intensity operational role.
- Bachelor’s degree in Business, Sociology, Social Work, or a related field is preferred.
- Proven experience as an executive assistant or in a similar role, supporting C-level executives or senior management.
- Exceptional organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively.
- Excellent written and verbal communication skills, with strong attention to detail and accuracy.
- Proficiency in office software (Microsoft Office, Google Workspace) and the ability to learn new tools and technology quickly.
- Demonstrated ability to work independently, take initiative, and anticipate the needs of executives.
- Trusted with sensitive information and discreet by default.
PHYSICAL ABILITIES
Ability to see at normal distance, hear normal conversations and sounds. Physical ability to bend, squat, sit on floor, climb stairs, skip and run. Use hands and fingers to fill out required forms on regular paper and use computer keyboard and other office machines/equipment. Ability to safely and occasionally lift or assist children weighing up to 60lbs., when needed.
SALARY RANGE & BENEFITS
$35,000 - $45,000 Annually
