Responsibilities
- Greet visitors and clients warmly, providing outstanding customer service in both English and Ukrainian.
- Manage multi-line phone systems efficiently, directing calls accurately and professionally.
- Handle all front desk duties including answering inquiries, scheduling appointments for multiple doctors and manage a dynamic appointment calendar.
- Verify insurance details, collect co-pays, and process patient payments.
- Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to keep records up-to-date.
- Organize files, manage calendars, and coordinate appointments to support office operations smoothly.
- Perform administrative duties: filing, data entry, patient correspondence.
- Keep the front desk area clean, organized, and presentable.
- Support office management activities including inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar tools.
- Collaborate with medical providers and team members to ensure excellent patient care.
Experience
- Prior office experience or administrative support roles preferred; experience in medical or dental reception is a plus.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities.
- Bilingual fluency in English and Ukrainian is required; additional language skills are advantageous.
- Familiarity with multi-line phone systems, data entry, filing systems, and basic bookkeeping enhances your fit for this role.
- Previous experience as a front desk or receptionist—medical receptionist or personal assistant experience is highly valued.
