The Seattle Fire Department is seeking an Assistant Personnel Specialist to join our Human Resources Division. This position will report to the Department’s Personnel Manager and provide both primary staffing for the Seattle Fire Department Headquarters front desk as well as administrative support to the Personnel Unit.
As the first point of contact for the Seattle Fire Department, customer service skills are a priority for the successful candidate. You will provide excellent customer service, perform daily reconciliation for cash and checks received by the department, maintain personnel files, and perform a variety of administrative tasks.
To support the Seattle Fire Department Headquarters’ front desk, this position will work in office Monday through Friday, 8:00 AM – 4:30 PM.
Job Responsibilities
Two years of progressively responsible clerical work in a personnel office setting is required (or a combination of education and/or training and/or experience which provides an equivalent background required to perform the work of the class).

The full salary range for this position is $33.71 - $39.34 per hour.

Job Responsibilities
- Answer the Seattle Fire Department business phone line and greet visitors to the building.
- Receive and document complaints from citizens and route as appropriate.
- Distribute electronic, U.S., City, and department mail that is delivered to Headquarters.
- Update HR databases and file systems; query payroll reports; research and compile statistical data.
- Support hiring processes by performing application screenings, preparing interview materials, and coordinating skills assessments.
- Create and maintain confidential employee and recruitment files.
- Enter leaves into the Department’s timekeeping system.
- Respond to inquiries from the public regarding hiring processes.
- Perform other projects and duties as assigned by the Personnel Manager.

- Strong oral and communication skills with the ability to deal tactfully and clearly with both internal and external customers.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Familiarity with Microsoft SharePoint and Adobe is desired.
- Reception or multi-line phone experience.
- Ability to multi-task and perform assigned tasks with frequent interruptions.
- Experience handling confidential documents and information.
- Previous experience in a public safety, public sector, or unionized environment is preferred.
