JOB DESCRIPTION Job Overview: The Package & Procurement Manager is responsible for overseeing the procurement, expediting, and delivery of equipment packages to ensure they meet contractual, quality, and project requirements. This role involves vendor management, contract negotiations, supply chain optimization, and coordination with engineering, logistics, and quality teams to ensure seamless execution from pre-PO to final delivery. JOB REQUIREMENTS Key Responsibilities: 1. Procurement & Contract Management Develop and implement procurement strategies to optimize costs, quality, and lead times for equipment packages. Manage the entire procurement lifecycle, from RFQs, vendor selection, and negotiations to contract finalization and purchase order issuance. Ensure all procurement activities align with project specifications, budgets, and timelines. Work closely with legal and finance teams to manage contract terms, liabilities, and payment conditions. Track and manage vendor payment milestones, ensuring compliance with contractual obligations. 2. Vendor & Supplier Management Develop and maintain strong relationships with key vendors and suppliers. Evaluate supplier performance based on quality, delivery schedules, cost-effectiveness, and compliance with industry standards. Conduct regular supplier audits and performance reviews to ensure continuous improvement. Resolve disputes, claims, and supply chain disruptions efficiently. 3. Package & Expediting Management Ensure smooth coordination between procurement, engineering, logistics, and project teams for package deliveries. Monitor vendor progress and expedite critical equipment to prevent project delays. Coordinate with engineering teams to manage technical clarifications and design changes with vendors. Oversee inspection and testing processes, including third-party inspections, to ensure compliance with project and industry standards. Track procurement schedules and provide regular status updates to senior management. 4. Logistics & Delivery Coordination Develop and oversee logistics strategies to ensure timely transportation, customs clearance, and warehousing of equipment. Work with logistics providers to optimize freight costs and delivery efficiency. Ensure all shipping and receiving documentation is accurate and complete. Address and resolve delivery challenges, damages, or discrepancies with vendors and logistics teams. 5. Quality Assurance & Compliance Ensure that all procured equipment meets required technical specifications and quality standards. Work closely with quality assurance teams to monitor supplier compliance with regulatory and safety requirements. Review and approve Inspection Test Plans (ITPs), Inspection Release Certificates (IRCs), and other quality documentation. Manage Non-Conformance Reports (NCRs) and ensure corrective actions are implemented. 6. Supply Chain & Risk Management Identify and mitigate procurement and supply chain risks that could impact project execution. Develop contingency plans to address potential vendor delays or quality issues. Implement process improvements to enhance procurement efficiency and cost savings. 7. Stakeholder & Team Collaboration Act as the key liaison between procurement, project management, engineering, finance, and logistics teams. Lead procurement and package progress meetings with vendors and internal stakeholders. Provide regular procurement and expediting reports to senior management. Mentor and guide procurement and expediting team members to ensure best practices. Key Skills: Strong contract negotiation and vendor management expertise. Deep understanding of supply chain operations, logistics, and procurement best practices. Knowledge of international trade regulations, incoterms, and customs compliance. Ability to manage multiple procurement packages and tight deadlines. Strong analytical, problem-solving, and decision-making abilities. Excellent communication and stakeholder management skills. Proficiency in ERP systems, procurement software, and supply chain tracking tools. Experience in managing large-scale procurement contracts and vendor negotiations.
