Job Summary
We are seeking an organized and experienced Front Desk Dental Receptionist to be the welcoming face of our office. In this vital role, you will serve as a point of contact for patients, vendors and team members, ensuring a positive and professional experience. Your approach and exceptional organizational skills will help maintain smooth office operations, manage multi-line phone systems, and support administrative functions.
Duties
- Greet visitors warmly and professionally, directing them appropriately and ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and route messages efficiently using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
- Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and stored
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
- Assist with checking patients in/out, scheduling appointments, collections copays and balances
- Provide customer support by addressing inquiries promptly and professionally, whether in person or via phone or email
Qualifications
- Proven office experience with strong computer literacy in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Strong customer service skills with a friendly demeanor and professional phone etiquette
- Previous experience in dental office admin or receptionist is a plus; familiarity with medical or dental receptionist duties is advantageous
- Clerical experience including data entry, filing, proofreading, and calendar management is preferred
- Knowledge of multi-line phone systems, office management practices, and basic bookkeeping (QuickBooks) will set you apart
- Ability to handle sensitive information discreetly with high attention to detail and accuracy
