JOB TITLE: Title Assistant REPORTS TO: Exam Team Leader / Title Officer

DEPARTMENT: Title / Exam Operations LOCATION: Traverse City, MI

JOB SUMMARY

The Title Assistant is responsible for supporting the title and exam team by completing the initial review of title files, obtaining tax information, managing commitment updates and revisions, supporting post-closing recordings, and assisting with final policy preparation. This position helps ensure title files are accurate, complete, updated timely, and ready for the next step in the closing process.

The Title Assistant works closely with Title Officers, Examiners, Closing Officers, Closing Assistants, Processors, and Post-Closing team members to support efficient workflow from first review through final policy. This role requires strong attention to detail, organization, follow-through, and the ability to manage multiple file updates and deadlines accurately.

DUTIES & RESPONSIBILITIES

Performs the first review of incoming title orders and assists with identifying missing information, required documents, and next steps

Obtains and verifies tax information, including property tax amounts, due dates, parcel information, special assessments, and other municipal or county tax details as needed

Reviews file information for accuracy and completeness and updates company systems accordingly

Assists Title Officers and Examiners with preparing, updating, and revising title commitments

Manages commitment updates and revisions, including tracking changes, updating requirements, and distributing revised commitments as appropriate

Reviews and processes requests for commitment changes, amended information, additional documents, and updated title requirements

Coordinates with internal team members to ensure title information, tax information, curative updates, and commitment revisions are completed timely

Communicates with the Closing Assistant, Closing Officer, Processor, Examiner, and Post-Closing team regarding file status, outstanding items, updates, and recording or policy needs

Assists with post-closing recording tasks, including tracking documents submitted for recording, monitoring recording status, and updating files when recorded documents are received

Reviews recorded documents for completeness and assists with resolving recording or document issues when appropriate

Assists with final policy preparation, review, and delivery, including confirming required documents, recordings, endorsements, and file information are complete

Maintains accurate records of title activity, tax information, commitment updates, recording status, and final policy activity in ResWare and other company systems

Follows up on outstanding title, tax, recording, and policy items to support timely file completion

Identifies potential file issues or delays and escalates concerns to the Title Officer, Examiner, or team leader when appropriate

Maintains confidentiality of company, customer, transaction, and property information

Follows company standards, procedures, privacy expectations, and applicable title, escrow, recording, and real estate guidelines

Performs other duties as assigned by supervisor

Adheres to company policies and guidelines

QUALIFICATIONS / EXPERIENCE

Previous experience in title, escrow, real estate, mortgage, county records, legal support, customer service, administrative support, or data/document review is preferred.

Experience reviewing documents, managing detailed information, tracking updates, and working with deadlines is preferred.

Familiarity with title commitments, tax information, legal descriptions, recording documents, and final policies is helpful, but not required for the right candidate.

EDUCATION

A high school diploma or equivalent is required.

Additional education, certification, or training in real estate, title, escrow, legal studies, business, or administrative support is a plus.

CERTIFICATIONS, LICENSES, INSURANCE

No certifications, licenses, or insurance are required unless otherwise needed by company, underwriter, or state requirements.

Notary public status is helpful but not required unless assigned duties require it.

ESSENTIAL JOB FUNCTIONS

This position requires repetitive use of a keyboard, extensive computer use, reviewing detailed documents and data, sitting for extended periods, bending, light lifting, simple grasping, and the ability to communicate effectively by phone, email, and in person.
