Overview of the Position: The SEAL Program Operations Specialist supports the successful execution of SEAL’s professional development programs, events, and training sessions. This role assists with the coordination, and distribution of materials for both in-person and virtual events, helping to ensure smooth program delivery. The Program Operations Specialist works under the guidance of team leads to carry out logistical tasks, maintain organization of materials, and support multiple operational needs across programs. This position requires strong attention to detail, reliability, and the ability to manage assigned tasks efficiently. In addition, the Program Operations Specialist provides technical support for webinars, helps maintain digital and physical materials, and supports office inventory, supplies management and administrative duties.

About the Role: The Program Operations Specialist is a hybrid role that requires working remotely and onsite. Occasional travel is anticipated. This position plays a key role in supporting smooth and effective program operations by executing assigned tasks with strong attention to detail, organization, and timeliness. The role also helps ensure materials and communications align with SEAL branding and quality standards while providing technical, logistical, and administrative support across program activities and events.


In this role, responsibilities include:


  • Office Operations & Coordination: Managing day-to-day office operations, including inventory tracking, supply ordering, shipping, and general office coordination and maintenance
  • Vendor Management: Supporting and maintaining relationships with office vendors and service providers
  • Training & Event Materials Coordination: Coordinating the preparation, assembly, and distribution of materials for SEAL professional development activities, trainings, and events, while ensuring adequate inventory and supplies
  • Shipping & Logistics: Managing the packaging and shipment of materials for trainings, retreats, and in-person meetings
  • Branding & Document Support: Formatting and editing documents, presentations, and materials to align with SEAL branding guidelines, including creating basic charts, diagrams, and visual supports as needed
  • Event Operations Support: Supporting event logistics, including onsite setup and breakdown for meetings and trainings
  • Technical & Webinar Support: Providing technical support during webinars and virtual meetings, including managing breakout rooms, monitoring chat functions, and assisting with meeting recording edits
  • Administrative & Leadership Support: Supporting general administrative and operational tasks, including calendar coordination and preparation of reports and materials for the Program Leadership Team


Who You Are

This is what’s required for the role…


  • Associate’s degree required; a comparable combination of relevant professional experience may be considered in lieu of a degree
  • Strong proficiency in Google Workspace (G Suite), Microsoft Office applications, and Adobe Creative Suite
  • Experience editing materials in Adobe Premiere Pro and Microsoft PowerPoint preferred
  • Experience providing technical support for Zoom meetings and webinars, including breakout room management, audio support, chat monitoring, and troubleshooting
  • Experience supporting office operations, including printing, shipping, inventory management, supply ordering, and general office coordination and maintenance
  • Experience using Box.com or similar cloud-based file management systems preferred
  • Care deeply about English Learner/Multilingual Learner children, families, and communities and building a multilingual future

Location & Compensation: You will work from home and in the Milpitas office approximately 3 times/week, with the expectation to travel 5-10% throughout the year. Candidates must reside in CA.


The salary range starts at $70,500. Salary is commensurate with experience. Our highly competitive benefits package includes: 100% coverage for employee medical, dental, vision, life and AD&D, long and short-term disability benefits. 50% coverage for dependent(s) for medical, dental and vision benefits. Up to 6% 401k matching. Medical/Dependent Care FSA. Self Care Program and Telecommuting Ergonomics Program. 20 days of PTO/year.
