The Executive Assistant will provide support to the President & CEO, Executive Team, and the Organization. They will serve as the Administrative point person for the Seabury Board of Directors and Office Manager for the Administrative Office Suite, ensuring maximum efficiency of office protocols, processes, and business machines. This position will plan, organize, and coordinate administrative functions. The ideal candidate will be an effective communicator with strong leadership skills, able to multitask and keep track of many moving parts within the organization. Experience and Education:Bachelor's Degree preferred. Background in hospital administration, medical office support, healthcare, or public health experience preferred.Specific Skills:Strong writing, editing skills.Excellent organizational and judgment skills.Able to handle confidential information with the utmost discretion.Able to relate to older people.Completely proficient in the use of Microsoft Office software to include Word, PowerPoint, Excel.Technologically astute and able to adapt to the use of new technology.Willing and able to take the lead in managing select projects. Proven track record supporting senior-level executives and handling sensitive information efficiently.Ability to identify organizational needs and work with a team of professionals to meet those demands. Responsibilities:Provides Administrative support services for Administration (Executive Team) and the Board of Directors (as needed).Project lead for select projects as directed by the CEO.Responsible for organizing the Board Meetings, Board Documents, and Board Portal. Attends Board of Directors and Executive Committee meetings, records and distributes accurate minutes to members according to established procedures.Serves as liaison for Administration and Executive Team in providing assistance, setting appointments, and relaying information from Residents and the Board.Handles CEO’s travel arrangements.Manages Central Supply to increase savings and inventory control. High-level oversight of employee scheduling to assure the greatest efficiencies.Provides follow up on correspondence to various directors, staff, clients, and residents.Supporting Administrative Departments in developing efficiencies and managing workload in high-volume timesPreparing and reviewing operational reportsKnow all aspects of front desk operations and emergency procedures and fills in at the front desk as necessary.Track residents, board members, and staff significant dates and have cards on hand for President & CEO.
