SDR provides critical support services focused on safety, reliability, and operational excellence. We are seeking a highly organized and proactive Administrative Assistant to support leadership and key operational functions.
Position Summary
The Administrative Assistant will play a vital role in supporting leadership by coordinating conferences, managing documentation, and maintaining critical fleet and compliance records. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Coordinate, plan, and manage logistics for conferences, meetings, and company events
- Company sponsorship levels / reserving booth space
- Coordinate any ads / publications related to the conference
- Participate in planning meetings: who is attending, obtain attendee list to schedule meetings with target participants
- Reserving hotel rooms for attendees
- Shipping booth materials to/from the conference
- Conference follow up review – how successful was our participation?
- Track, organize, and maintain documents for the Utility Vegetation Management Division
- Maintain accurate files and monitor renewal dates for fleet and driver qualification-related items, including:
- Coordination with Third Party vendor verifying driver qualifications per FMCSA
- Vehicle registrations
- Insurance documentation
- Required inspections
- Vehicle maintenance and repair documentation and logs
- Ensure timely reminders and compliance with all fleet and driver documentation requirements
- Provide administrative support for various departments as needed
- Coordinate office shipments for FedEx, USPS, etc
- Order general supplies for the office
- Utilize CRM and organizational tools to support internal workflows
- Other duties as assigned
Qualifications & Experience
- Proven experience as an Administrative Assistant or in a similar administrative role
- Strong organizational, time-management, and multitasking skills
- High attention to detail and ability to manage confidential information
- Proficiency with Microsoft Office (Outlook, Word, Excel)
- Experience with HubSpot and Monday.com preferred
- Excellent written and verbal communication skills
- Ability to work independently and proactively anticipate needs
