Who You Are:
We're a rapidly growing digital marketing agency in Denver searching for a talented and motivated Operations Specialist to join our dynamic Finance and Operations team. In this vital role, you'll be a key player in ensuring our internal operations run smoothly and efficiently, with a special focus on supporting our clients and team members. We're looking for a sharp, proactive, and results-oriented individual with a strong sense of ownership and a keen eye for detail. The ideal candidate thrives in a fast-paced environment and possesses excellent organizational and prioritization skills. You should be a proactive problem-solver who can manage multiple tasks at once without missing a beat while maintaining accuracy and a positive attitude. You'll be a self-starter who is comfortable with technology, can quickly learn new systems, and has excellent communication skills, both written and verbal.
What You'll Do:
Client Management:
- Manage the complete lifecycle for clients, with a focus on onboarding & offboarding.
- Ensure data integrity and contractual compliance by conducting meticulous reviews of all client paperwork, including new business agreements, renewals, amendments to original scope of work and other legal documents.
- Distribute necessary documents via e-signature platform to ensure a smooth, timely process.
- Initiate client projects by creating them in the work management tool, gathering input from stakeholders, and scheduling the internal kickoff meeting once all paperwork is complete. Similarly, coordinate client offboarding efforts promptly after notice has been given and key stakeholders have been notified.
- Act as the central point of contact, coordinating with multiple teams and stakeholders across different regions to ensure all communication remains clear and consistent, keeping projects on track from start to finish.
- Effectively manages all tasks within the work management tool, ensuring timely completion through prioritization and strategic reassignment as necessary.
Process & Workflow Management:
- Support the development, documentation, and refinement of operational processes across all departments and regions.
- Monitor process adherence and identify opportunities for improvement with key stakeholders in various departments.
Administrative & Strategic Support:
- Provide administrative and operational support for key agency projects
- Help implement and optimize tools and systems that support project management, collaboration and reporting.
Systems Administration:
- Assist with the internal onboarding and offboarding for all staff to ensure a seamless transition for new and departing team members
- Act as a primary systems administrator for our key internal platforms, with a focus on our work management tool platform.
- Maintain the health of the system, make strategic adjustments to templates, and recommend new features to improve our operations.
- Collaborate with the Finance and Operations teams to identify and implement process improvements across the business.
- Assist with internal audits, compliance tracking and risk mitigation efforts.
Staff Equipment Management:
- Take full ownership of all company equipment and inventory. This includes managing procurement, meticulously tracking assets, and ensuring our team members have the tools they need to succeed.
- Proactively coordinate and manage all necessary repairs and maintenance to keep our equipment in excellent working condition and our operations running seamlessly.
Contributes to the overall success of the team by fulfilling assigned duties and taking initiative on additional responsibilities as required.
What It Takes to Succeed:
- Bachelor's degree in Business Administration or related field
- 3 years of administrative and/or operational experience (agency or creative industry experience preferred)
- Excellent written and verbal communication skills.
- Strong organizational and problem-solving skills with a keen attention to detail.
- Ability to manage multiple priorities in a fast-paced, dynamic environment.
- Ability to handle highly sensitive, confidential and non-routine information
- Strong interpersonal skills; comfortable working with people at all organizational levels and able to adapt to diverse perspectives and styles
- Proficiency with project management and collaboration tools (e.g., Accelo, Google Workspace)

The salary range for this position has been established at $55,000 - $60,000 per year.
