Fiscal & Human Resources Coordinator

Department: Administration

Reports To: Company Owner/President

Position Summary

The Fiscal & Human Resources Coordinator is responsible for overseeing the company's financial administration and human resources functions while supporting daily office operations. This position ensures accurate financial reporting, payroll administration, employee record management, regulatory compliance, and efficient business operations. The Fiscal & Human Resources Coordinator serves as a key member of the administrative team by supporting leadership, employees, vendors, and customers with professionalism and confidentiality.

Essential Duties and Responsibilities

Financial Management

  • Process accounts payable, including reviewing invoices, obtaining approvals, and issuing payments.
  • Prepare customer invoices and manage accounts receivable collections.
  • Reconcile bank accounts, credit card statements, and other financial accounts.
  • Assist with monthly, quarterly, and year-end financial closing procedures.
  • Maintain accurate accounting records and general ledger entries.
  • Track project costs and assist with construction job costing.
  • Prepare financial reports and summaries for management.
  • Coordinate payroll processing and maintain payroll records.
  • Monitor cash flow and assist with budgeting and forecasting.
  • Maintain documentation for annual financial, insurance, and workers' compensation audits.
  • Support bonding requests and financial reporting requirements.
  • Ensure compliance with all applicable accounting standards and regulations.

Human Resources

  • Coordinate recruitment, interviewing, hiring, and onboarding of employees.
  • Prepare new hire documentation, including I-9s, W-4s, and employment paperwork.
  • Maintain confidential employee personnel files and HR records.
  • Administer employee benefits enrollment and changes.
  • Track paid time off, attendance, leave requests, and employee records.
  • Assist managers with performance reviews and employee documentation.
  • Maintain and update company policies and employee handbook.
  • Coordinate employee training, certifications, and required licensing.
  • Assist with employee relations while maintaining confidentiality and professionalism.
  • Coordinate workers' compensation claims and return-to-work processes.
  • Process employment verifications and unemployment claims.
  • Ensure compliance with federal, state, and local employment laws.

Construction & Administrative Support

  • Assist with certified payroll reporting when required.
  • Maintain subcontractor insurance certificates and compliance documentation.
  • Track contractor licenses, permits, and registrations.
  • Maintain safety records, OSHA documentation, and employee certifications.
  • Support project managers with administrative documentation.
  • Assist with contract administration and document management.
  • Maintain organized electronic and paper filing systems.
  • Coordinate office supplies, vendor communications, and administrative functions.
  • Answer phones, greet visitors, and provide excellent customer service.
  • Complete special projects and other duties as assigned.

Qualifications

Education

  • Associate's degree in Accounting, Finance, Human Resources, Business Administration, or a related field preferred.

Experience

  • Three to five years of experience in accounting, bookkeeping, human resources, or office administration.
  • Experience in the construction industry is preferred.
  • Experience with payroll processing and accounting software is preferred.

Knowledge, Skills, and Abilities

  • Knowledge of accounting principles and financial reporting.
  • Knowledge of employment laws and human resources best practices.
  • Strong understanding of accounting processes.
  • Proficiency in Microsoft Office, particularly Excel, & Word. Quick books.
  • Experience with accounting and payroll software.
  • Excellent organizational, analytical, and time management skills.
  • Strong written and verbal communication skills.
  • Ability to handle multiple priorities and meet deadlines.
  • High level of integrity and ability to maintain confidential information.
  • Strong problem-solving and customer service skills.

Physical Requirements

  • Ability to sit for extended periods while working at a computer.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to communicate effectively in person, by telephone, and electronically.

Work Environment

This position is primarily performed in an office environment. The role requires frequent communication with employees, project managers, vendors, subcontractors, customers, and government agencies.
