Scopes Facility Services LLC is a national provider of facilities maintenance with roots in floor care and landscaping. Founded in 1988 as a small floor cleaning company our services have grown to include landscaping installation and maintenance, janitorial services, exterior building services, and more. We serve a variety of commercial, retail, and professional businesses in the continental US.
Responsibilities:
- Check mailbox for invoices, checks and statements
- Code accounts payable invoices in bill.com and send through reviewal process
- Resolve synchronization issues between accounting software and Divvy and Bill.com
- Handling processing and resolution of denied AP invoices
- Review and reissue uncashed checks paying AP invoices
- Perform weekly check run electronically
- Review vendor AP statements for missing invoices
- Electronically code credit card transactions and setup credit card budgets
- Invoice customers and email invoice or post AR invoices in 3rd party payor system
- Deposit checks with check scanner and post deposit
- Post ACH payments
- Balance cash in bank accounts
- Perform bank reconciliation monthly
- Process weekly payroll and perform off-cycle payrolls as needed
- Keep vendor files up to date with W9’s and certificates of insurance
- Balance notes payable and lease payables monthly
- Enter and dispose of fixed assets
- Balance fixed asset spreadsheet monthly and post depreciation entry
- Reconcile prepaid account, deferred revenue, accrual accounts and customer deposits
- Count and reconcile inventory in greenhouse monthly
- Post inter-company entries
- Accrue and pay use tax in state of Georgia monthly
- Email on past due AR invoices and escalate receivable collections if necessary
- Issue 1099 statements at year-end
- Create and review monthly financial statements
- Create ad hoc month-end reporting for management
- Run reports and assist with year-end audit questions and reporting requirements
- Answer accounting phone calls, emails and questions
- Prepare and analyze financial statements, including balance sheets, income statements, and cash flow statements
- Perform account reconciliations to ensure accuracy and completeness of financial data
- Assist in the preparation of budgets and financial forecasts
- Conduct research and analysis on technical accounting issues and provide recommendations
- Ensure compliance with International Financial Reporting Standards (IFRS) and other applicable accounting regulations
- Collaborate with cross-functional teams to support financial management initiatives
- Utilize accounting software (such as QuickBooks or Xero) to record, process, and analyze financial transactions
- Assist in the preparation of audit schedules and support external auditors during annual audits
- Maintain documentation of accounting policies and procedures
Skills:
- Strong knowledge of accounting principles and practices
- Experience with account reconciliation and balance sheet reconciliation
- Familiarity with International Financial Reporting Standards (IFRS)
- Proficiency in financial management concepts and techniques
- Experience using accounting software (such as NetSuites, QuickBooks or Xero)
- Familiarity with Concur
- Ability to perform budgeting and forecasting activities
- Knowledge of technical accounting standards and ability to apply them effectively
- Familiarity with governmental accounting principles is a plus
- Comfortable with dynamic change as we update accounting systems and processes
