- Patient and Provider Support:
- Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to patients and for respective provider.
- Clinical Assistance:
- Have a thorough working knowledge of all standard operating protocol and policies that pertain to the clinical department.
- Have thorough knowledge of all clinical treatments to appropriately care for the patient’s needs. Proficient in pre-care and post-care treatment instructions. Fully understands provider to patient flow and anticipates provider’s next steps to the best of their ability.
- Ability to assist in Mohs duties and workflows as needed by the office.
- Operational Duties:
- Check all equipment at the beginning of each shift and maintain all treatment rooms.
- Set up, maintain and sterilize instruments before and after procedures.
- Keep the office clean and remove waste.
- Ensure proper documentation and maintenance of all binders and logs such as refrigerator temperature log, autoclave log, and others as required.
- Preps exam rooms for all procedures and properly cleans exam rooms after every visit.
- Inventory Management:
- Conduct a daily scan of retail and cosmetic products and medical supplies and alert team and GM of any low-level supplies as needed/requested.
- Perform inventory responsibilities and stocking of supplies and equipment as requested.
- Track and follow inventory workflows for consumables used during a visit.
- Documentation and Patient Management:
- Assist the provider in medical, cosmetic, allergy, and/or laser procedures.
- Properly assists provider in recording prescribed treatments, medications, lab requisitions, biopsies, cultures, photos, prescriptions, prior authorizations (completing for medications and appointments as needed), obtaining consents, and/or procedures within established guidelines.
- Ensure proper documentation and chain of custody for pathology workflows.
- Patient Interaction:
- Provides direct patient interaction by welcoming patients, preparing them for exams, gathering medical histories, and assisting with coordination of care to ensure a smooth and positive clinical experience.
- Uphold privacy standards, ensuring sensitive information is handled securely, per HIPAA regulations.
- Phone and Communication Management:
- Assist in answering post care phone calls and follow up on messages.
- Ensure all tasks and Klaras are responded to in a timely manner and patient follow up is completed.
- Administrative Duties:
- Complete all required training and continued education opportunities within the allotted time frame.
- Cross train in Patient Coordinator duties. Assist in covering the front desk when needed. Take payments and book follow-up visits.
- Assist in training new hire Medical Assistants.
- Attend mandatory company and office meetings.
- Working knowledge and application of HIPAA & OSHA compliance.
- Other duties as assigned by supervisor on an as needed basis.
- Prior experience working in a medical (Dermatology/Allergy) environment strongly preferred.
- Medical Assistant Certified strongly encouraged.
- Experience using EMR software and patient scheduling systems preferred.
- If in allergy field and/or office, experience with allergy testing (skin prick, patch, and spirometry) preferred.
- High School Diploma or GED required; advanced education is encouraged.
- Must be computer savvy and familiar with Outlook.
- Strong communication, interpersonal, and organizational skills.
- Excellent patient relations and customer services skills.
- Strong follow up stills and ownership/accountability.
- Must be professional, reliable, and dedicated employee.
- Working knowledge of HIPAA & OSHA compliance.
