Key Responsibilities
- Appointment Scheduling & Workflow Optimization
- Answer incoming service department phone calls promptly and professionally.
- Schedule service appointments to balance technician workloads, minimize customer wait times, and optimize daily shop efficiency.
- Coordinate with service advisors, technicians, and body shop teams to align appointments with available resources.
- Loaner Vehicle Program Management
- Identify customers requiring loaner vehicles and schedule them accordingly to ensure availability.
- Check loaner vehicles in and out, performing quick visual inspections for cleanliness, fuel level, and any damage.
- Prepare loaner cars for the next customer (clean interior/exterior, full tank, paperwork ready).
- Maintain accurate loaner fleet records, including mileage, maintenance needs, and availability.
- Customer Service Excellence
- Provide clear communication of appointment details, loaner policies, and estimated completion times.
- Follow up with customers as needed to confirm appointments or address changes.
- Team Collaboration
- Work closely with service advisors, technicians, and body shop staff to ensure seamless operations.
- Report any loaner vehicle issues (mechanical, damage, or cleanliness) to management immediately.
- Valid driver’s license with a clean driving record.
- Strong phone etiquette and customer service skills.
- Excellent organizational and multitasking abilities.
- Proficiency with computers and scheduling software (training provided).
- Ability to work in a fast-paced environment while maintaining attention to detail.
- Automotive knowledge is a plus, but not required.
- Full-time employment with consistent Monday–Friday schedule.
