Overview
We are seeking a positive and knowledgeable person who is qualified to step in as our receptionist/legal secretary at Schmidlin & Salim P.C. Our ideal candidate is an individual who is dedicated to being present in the office to not only assist the attorneys, but to also serve our clients' needs.
Key Responsibilities
- Greet visitors, clients, and vendors with warmth and establish a meaningful first impression.
- Manage a multi-line phone system effectively, directing calls accurately and courteously while handling inquiries promptly.
- Maintain organized reception areas, including filing, data entry, and managing office supplies to ensure a tidy workspace.
- Utilize office productivity tools such as Microsoft Outlook, Word and Excel comfortably.
- Schedule appointments, manage calendars, and coordinate meetings to optimize time efficiency.
- Handle incoming and outgoing correspondence, including emails and mail distribution sent on our behalf, with attention to detail and proofreading skills.
- Assist with clerical duties such as document revisions, data entry, filing systems, and maintaining accurate records.
- Provide excellent customer support by addressing inquiries via phone, email or in person with professionalism and patience while practicing proper phone etiquette.
Alongside facilitating communication and completion of given tasks, candidates must be prepared to engage in professionalism and maintain respect for clients' privacy and requests.
Experience
- Previous experience in office administration or reception roles is highly desirable, especially within legal practices or similar environments requiring specialized front desk skills.
- The ability to be teachable and adaptable to the needs of this office is highly important and a supporting characterisitc of this role.
