Our commitment to quality and customer experience sets us apart.The Senior Accountant is responsible for overseeing day-to-day core accounting operations at Schaefer Homes. This role serves as a critical bridge between operations, accounting, and leadership; ensuring accuracy in financial data, strong internal controls, and timely reporting. The position supports the monthly close process, manages accounting workflows in QuickBooks and ECI and ensures system integrity as the company scales.Key Responsibilities:Manage daily accounting in QuickBooks/ECI (AP, Deposits, Reconciliation, Accruals, Depreciation schedules)Reconcile settlement sheets and book entries for closings (lot, loan, and home settlements).Perform bank reconciliations for the operating account and all loan accounts.Assist with Accounts Payable (invoice/credit card charge coding, approvals, and disbursement prep).Maintain WIP schedules and job cost reports.Prepare post-mortem for completed and monthly deep-dives into cost overruns, variances, andprofitability by subdivision or project.KPIs & Benchmarking- Track all metrics (DIO, DPO, overhead absorption, gross margin by community) and provide comparisons to budget/industry benchmarksEnsure all vendor invoices received by the cutoff are entered and approved for payment before the month-end for inclusion in the proper accounting period.Verify accruals, prepaids, and recurring journal entry documentation.Maintain accurate naming and filing of all close-related files (using company naming conventions and folder structure).Track outstanding items from the "open-items list" and follow up with appropriate team members for resolution.Ensure all scanned and uploaded materials meet audit-readiness standards as established by the "Schaefer Homes - Finance Department SOP".Process bi-weekly payroll and ensure accurate posting to the general ledger.Maintain payroll records, PTO balances, and employee personnel files.Reconcile payroll reports and coordinate with accounting for accurate expense allocations.Ensure compliance with all federal and state payroll laws.Enter invoices and maintain vendor documentation in the accounting system (ECI/QuickBooks).Perform weekly check runs, scan checks, enter payments into Positive Pay, and ensure timely disbursement of funds.Manage vendor communication, W-9 collection, and insurance certificate tracking, including ensuring all vendor agreements are signed and saved in SharePoint, with an executed copy being returned to the vendorAssist with vendor credit applications and support purchasing as needed.Upload all bank statements, credit card statements and other requested documents to the appropriate accounting shared file database by established close deadlines.Reconcile and scan supporting documents for accounts payable, payroll, and other transactions for inclusion in monthly close workpapers, as requested by the accounting team.Ensure all vendor invoices received by the cutoff are entered and approved for payment before the month-end for inclusion in the proper accounting period.Assist the accounting team by verifying accruals, prepaids, and recurring journal entry documentation.Maintain accurate naming and filing of all close-related files (using company naming conventions and folder structure).Track outstanding items from the "open-items list" and follow up with appropriate team members for resolution.Ensure all scanned and uploaded materials meet audit-readiness standards as established by the "Schaefer Homes - Finance Department SOP".Administer employee benefits, including health insurance, PTO, and onboarding documentation.Coordinate with insurance providers for renewals, claims, and policy maintenance.Maintain the EASE database and ensure employee benefit records are accurate and up to date.Support annual open enrollment and assist employees with benefits-related inquiries.Support the CAO with insurance renewals, bond paperwork, and certificate of insurance requests.Track expiration dates and ensure all company and vendor insurance documentation remains current.Assist with corporate compliance filings and internal record audits.Support onboarding and offboarding processes to ensure smooth transitions.Contribute to the continuous improvement of administrative processes and systems.Qualifications:Bachelor's degree in Business Administration, Accounting, or related field preferred, but not required.Minimum 3-5 years of experience in a senior accounting roleExperience with ECI, QuickBooks, or similar ERP/accounting systems.Experience in HR oversight, including payroll, onboarding, and benefits administration, is a plus.Background in construction, real estate development, or related industries is a plus.Strong organizational and time management skills.Attention to detail and accuracy in data entry and record-keeping.Proficiency in Microsoft Office Suite (Excel, Word, Outlook).Excellent communication and interpersonal abilities.Ability to maintain confidentiality and exercise discretion with sensitive information.Strong problem-solving and multitasking capabilities.Compensation:Full-time position.Salary: $80,000 - $90,000 per year, commensurate with experience
