Lead Coordinator & Dispatcher
We are a growing home improvement company looking for a highly organized, dependable, and customer-focused Lead Coordinator & Dispatcher to join our team.
This is a key position within our company. You will be responsible for managing the flow of incoming leads, scheduling appointments for our sales reps, following up on previous opportunities, and ensuring our custom CRM is kept accurate and up to date.
The ideal candidate is organized, proactive, confident on the phone, and understands the importance of follow-through. Every lead matters, and we're looking for someone who takes ownership of making sure no opportunity falls through the cracks.
Responsibilities
- Contact and verify all incoming leads.
- Qualify homeowners and gather project details.
- Schedule appointments for our sales team.
- Dispatch appointments based on territory, availability, and scheduling priorities.
- Confirm appointments with homeowners and send reminders as needed.
- Follow up on canceled, missed, and rescheduled appointments.
- Rehash old leads, previous estimates, and inactive prospects to generate new appointments.
- Maintain consistent communication with homeowners throughout the scheduling process.
- Follow up with sales representatives after every appointment to obtain results.
- Update our custom CRM with detailed notes and the outcome of every appointment.
- Track appointment statuses, including Sold, Not Sold, Rescheduled, Canceled, No Show, and Follow-Up Required.
- Ensure all customer information and appointment details remain accurate and current.
- Identify leads requiring additional follow-up and schedule future contact.
- Work closely with the sales team to maximize appointment efficiency and lead conversion.
- Maintain professionalism and provide exceptional customer service on every call.
Qualifications

- Comfortable making outbound follow-up calls.

- Ability to work independently while collaborating with a team.
- Previous experience in dispatching, appointment setting, customer service, inside sales, or call center operations is preferred.
- Experience in the home improvement, construction, or home services industry is a plus.
- Bilingual (English/Spanish) is a plus but not required.
