The Role
We are seeking a high-energy, systems-oriented Director of Operations / Office Manager who thrives on growth and people. You won't just be "managing an office"; you will be the architect of our internal culture and the engine behind our operational expansion.
The ideal candidate has a deep understanding of the "big-picture" systems used by top-tier Dental Service Organizations (DSOs) but possesses the heart and adaptability of a private practice leader. You will be responsible for implementing organized systems that drive efficiency without sacrificing the "compassionate, no-judgment" care our patients love and have trusted for the last 15 years.
Key Responsibilities
Operational Leadership: Design and implement scalable systems for scheduling, billing, and patient flow.
HR & Team Culture: Manage recruitment, onboarding, and performance-based incentive structures. You will lead a dedicated team, ensuring a stress-free and high-functioning work environment.
Growth & Expansion: Partner with the owners to prepare for the 2027 transition to our new facility, managing the logistics of scaling a practice while maintaining a boutique feel.
Patient Advocacy: Oversee the patient journey to ensure every individual feels safe, heard, and respected.
Technology Management: Utilize Dentrix and other modern tools to optimize practice performance and data reporting.
Professional Background & Experience
Sector Expertise: 3 to 5 years of leadership within a high-volume dental environment. Direct experience in a Dental Service Organization (DSO) or a multi-doctor private practice is essential.
Proven Leadership: A minimum of 2 years in a primary management role with direct responsibility for staff scheduling, performance coaching, and operational flow. Strong interpersonal skills, demonstrated through experience managing staff and patient interactions.
Software Mastery: Advanced proficiency in Dentrix is required. Candidates must be able to demonstrate how they use Dentrix reports (Practice Advisor, Daily Huddles, and Collections Manager) to drive business decisions.
Education & Specialized Credentials
Foundational Education: High School Diploma or GED required; a Bachelor’s degree in Business, Healthcare Administration, or a related field is strongly preferred.
Industry Certification: Preference will be given to candidates holding or pursuing FAADOM (Fellowship of the American Association of Dental Office Management) or other advanced dental leadership certifications.
Clinical Literacy: Comprehensive knowledge of ADA coding, dental terminology, and insurance claim adjudication.
Core Competencies for the New Facility Launch
Financial Intelligence: Proficiency in managing P&L statements, auditing ledgers, and implementing systems to minimize accounts receivable.
Change Management: Proven ability to lead a team through transitions (such as a facility move, software conversion, or scaling of staff).
The "Owner's Mindset": Superior critical-thinking skills with the ability to manage complex operations autonomously, allowing the clinical team to remain focused on patient care.
