Brief Description
Project Administrator I is responsible for the efficient operation of the job site office and administrative tasks. This position works closely with Project Managers, Superintendents, and Subcontractors to ensure all paperwork, correspondence, and other administrative tasks are answered and/or directed at the correct establishment to guarantee the project’s acceptance from beginning to completion.
Essential Job Functions
Project Administrator I is responsible for the efficient operation of the job site office and administrative tasks. This position works closely with Project Managers, Superintendents, and Subcontractors to ensure all paperwork, correspondence, and other administrative tasks are answered and/or directed at the correct establishment to guarantee the project’s acceptance from beginning to completion.
Essential Job Functions
- Record payroll information and daily hours, including any certified payroll requirements.
- Assist project team with the following processes: RFI’s, punch list, submittals, closeout (i.e., assembling O&M manuals)
- Monthly pay applications and invoices
- Assist with purchase order creation and issuance
- Entering data (i.e., Daily Reports) into the PM system(s)
- Attend and record job site meetings and distribute meeting minutes to attendees
- Maintain a professional project image through clean documentation, clear communication, and consistent brand representation
- Manage the office functions at the jobsite trailer
- Assist with the maintenance of as-built drawings
- Maintain current and correct certificates of insurance
- Maintain current and correct subcontract/purchase order logs
- Miscellaneous typing/copying for project team
- Distribution, tracking, and filing of all forms, correspondence, etc., as necessary
- Serves as the primary point of contact for Subcontractors, Vendors, Project Site Team, and Accounting

- Three years of experience handling the duties listed above (or similar) preferred
- Experience with Viewpoint strongly preferred
- Intermediate to advanced skills in MS Office (Word, Excel, and Outlook) is required
